Outpatient Surgery Secretary - PRN Days

The Department Secretary
performs a variety of non-nursing functions associated with the daily operation of Outpatient Surgery and Pre-Admission Testing. These functions are clerical and other related functions.


Duties:

  • Coordinates surgery schedule information and updates by running 7:00 a.m. reports and 10:00 a.m. schedule and distributes appropriately.
  • Develops daily call schedule, incorporates corrections and distributes.
  • Assembles OR chart packets.
  • Maintains payroll sheet for OR associates with corrections performed at a minimum of every other day and the Monday before payroll to ensure completion.
  • Performs payroll duties daily for travelers by faxing time records to appropriate sources.
  • Orders lab cultures, specimens, x-ray, and other tests in computer and notifies by phone as needed.
  • Assists in delivering specimens to lab as needed.
  • Requests reports of diagnostic studies performed.
  • Photocopies necessary documents and assists with copier use as needed.
  • Maintains copier and its supplies requesting service appropriately as needed.
  • Keeps forms and supplies ordered on Monday or Tuesday for OR, PACU, and OR lounge.
  • Maintains PACU file drawer with appropriate forms at physician’s desk.
  • Files Special Purchase Requisitions weekly in appropriate book.
  • Maintains and updates associate and physician phone list.
  • Retrieves mail from mailroom and appropriately distributes to OR and PACU.
  • Calls registration for patient bed assignment and notifies Patient Care Technicians of when to transport patients.
  • Contacts physicians by telephone when needed to assist OR schedule efficiency.
  • Receives data information as requested in a prompt manner.
  • Registers patients for epidural classes.
  • Establishes and maintains a workable par level of office supplies.
  • Generates work orders for any items in need of repair.
  • Generates purchase orders for requested items.
  • Maintains clean desk area and prior to leaving, daily wipes down desk area and telephones appropriately.
  • Records and reports information clearly, completely and accurately.
  • Utilizes written and verbal communication to report significant information to OR staff.
  • Demonstrates ability and willingness to work collaboratively with co-workers, managers, physicians, and all members of the health care team.

Qualifications:

Requirements:

High school diploma is required.

At least 2 years secretarial experience preferred. Knowledge of OR activities extremely helpful. Medical terminology. Clerical skills including Microsoft programs as well as hospital computer based programs.
