JOB TITLE: Food Pantry Coordinator

DEPARTMENT: Operations

REPORTS TO: Chief Operating Officer

OVERALL PURPOSE

The purpose of this position is to ensure that our Food Pantry is sufficiently stocked to fill weekly orders; to receive and prepare those orders for pick-up; and to provide friendly, helpful customer service.

ESSENTIAL FUNCTIONS

Employee must

  • Be present for all work shifts;
  • Arrive at least 10 minutes before workshift begins;
  • Remain on the job site for the entire shift;
  • Maintain adequate quantity of pre-packaged pantry boxes: meat packs, homeless packs and new client packs for both locations;
  • Perform periodic inventory counts;
  • Collect and periodically analyze sufficient data to accurately predict supply and demand trends to ensure that the food pantry is adequately stocked;
  • Maintain a clean, safe workplace;
  • Maintain refrigeration/freezer temperature logs;
  • Maintain daily pick up hours;
  • Register food pantry clients who receive Harvest Hope products into their Link2Feed® Software;
  • Coordinate food package delivery with clients and transportation specialists;
  • Attend the weekly Medical Case Managers meetings;
  • Prepare food stock orders and submit to vendors (i.e.: ALDI, Dollar Tree, Harvest Hope Food Bank);
  • Recruit and coorodinate volunteers and co-workers to assist with food stock order pick-up and delivery (i.e.: ALDI, Dollar Tree, Harvest Hope Food Bank);
  • Monitor Food Pantry email account and print orders and place them in proper folders;
  • Collect food orders and prepare orders for client to pick up;
  • Coordinate the annual Broadway Cares/Equity Fights AIDS grant application process;
  • Lead the preparation efforts for the annual Harvest Hope Food Bank partner inspection process;
  • Coordinate with Harvest Hope Food Bank for weekly food purchase and pick up;
  • Break down HHFB packages into 10 pound packs for distribution;
  • Rotate stock to follow First-in/First-out inventory to avoid spoilage;
  • Defrost Freezers as needed;
  • Compile and submit monthly Harvest Hope Report;
  • Communicate issues with the Food Pantry facility and fixtures to the Chief Operations Officer;
  • Comminicate client order or behavior issues to the Director of Client Services;
  • Follow all food safety policies and procedures as set forth by Harvest Hope Food Bank and/or AID Upstate;
  • Attend trainings required by Harvest Hope Food Bank;
  • Coordinate seasonal and special food events or offerings as they arise;
  • Implement and maintain an annual food safety education program for all clients receiving food pantry services;
  • Enter Food Pantry services into Provide Enterprise® Software;

RESPONSIBILITIES 

The food pantry coordinator is responsible for the efficient operation of our food pantry service. This person is responsible for acquiring stock at the best price based upon comparative shopping processes and partnering with other agencies and business that wish to sponsor a food drive/donation. He or she is responsible for following all food and general safety policies and procedures related to a food distribution facility/operation. This person is responsible for reasonably avoiding product waste and stock shrinkage. This position partners with Client Services to provide food pantry services with empathy and honesty to people affected by HIV. The food pantry coordinator enters food service data into our client database, works with Director of Client Services to extract data necessary to submit service reports to Harvest Hope. This person also completes and submits the monthly Harvest Hope Report. The food pantry coordinator is responsible for maintaining regular hours for clients to pick up their food packages and coordinates with Transportation Specialists for pantry package delivery.

QUALIFICATIONS

A successful candidate must have a high school diploma or diploma equivalent (GED). Candidate will need above average math and organizational skills. Must be able to communicate effectively with diverse client population. Must be a team player, self-starter and results oriented.
