As a Senior Marketing Database Coordinator in our Madison office, you will help us empower our clients to achieve energy-efficient building solutions, save global environments, and create a greener future for all.
Here's why we need you:
Through experience and a thorough understanding of the client relationship management (CRM) database and image library database applications, the Senior Marketing Database Coordinator performs ongoing administration of the systems, performs data population and verification, develops appropriate reports, and serves as a point of contact for users, identifying opportunities to improve marketing systems and data management.
They utilize proactive and sound project management skills and are adept at problem-solving and developing the database and associated systems to meet AEI's marketing needs. Works independently on projects, exercising sound judgment, decision-making, and when and where to engage others to complete a project successfully. Collaborating with the marketing database team, marketing department, digital practices, and relevant stakeholders, they assist with creating and embedding new/existing business protocols and processes across the organization to ensure best practices.
The following job functions are typical of the position but are not all-encompassing:
  • Oversees CRM data governance, including data standards, audit, structures, retrieval and maintenance, reporting, data populating, and more.
  • Develops and maintains data and monitor systems to ensure data integrity.
  • Demonstrates ability to convey a sense of urgency, openness to new ideas, inclusion and diversity, integrity, customer focus, and respect.
  • Contributes to application improvements that increase marketing and end-user efficiency through application comprehension.
  • Participates in the implementation and upgrade processes for database applications led by IT, when applicable.
  • Develops and enhances automated workflows and CRM processes in partnership with IT.
  • Performs advanced searches and reporting based on marketing, business development, and other stakeholder requests.
  • Respond to CRM, image library, and internal intranet questions from AEI employees.
  • Troubleshoots software and/or user errors that inhibit the interaction between people and technology efficiency by solving independently, collaborating with internal IT staff, or working with vendor support, and coordinating the resolution(s).
  • Participates in user groups and webinars specific to CRM, image library, and internal intranet tools to stay current on database trends and upgrades while sharing learnings with marketing, business development, and IT staff.
  • Serves as a crucial point-of-contact for CRM and image library vendors and understands their customer service processes and tools.
  • Performs Deltek Vantagepoint and OpenAsset new user and current user training.
  • Develop training/reference materials.
  • Leads implementation of miscellaneous special projects related to data management and improvements.
  • Participates in training, team development, and advancement activities.
  • Mentors marketing database coordinator(s) (if applicable).
  • Provides key analytics and data from marketing technology and tools to support business goals.
  • Other duties as assigned.
Expertise of our most successful Senior Marketing Database Coordinator:
  • Associate or bachelor's degree in information management, computer science, marketing, business, or related analytical field.
  • Five years of experience in marketing or business environment.
  • Thorough knowledge and understanding of database structure and technology, with specific knowledge of CRM database technology.
  • Thorough knowledge and understanding of the marketing processes and tools within an A/E/C firm. Complementing this strength would be an understanding of the business processes and tools of an A/E/C firm.
  • Experience with Deltek Vantagepoint CRM database preferred.
  • Experience with the OpenAsset digital asset management database is preferred.
  • Five to seven years of experience in marketing and expertise in an A/E/C environment preferred.

  • Ability to express ideas clearly to a wide audience of technical and non-technical individuals.
  • Ability to demonstrate strong leadership in the execution and implementation of processes and procedures working with senior office and division leadership as well as national subject matter experts.
  • Proficiency in Adobe Creative Suite (InDesign and Adobe Acrobat Pro) and Microsoft Office (Outlook, Word, Excel, One Note, PowerPoint).
  • Interest in continuous improvement and learning of current and new skills.
