Advocate Health is Hiring a Rehab Aide II/Scheduler for Wound Care Near Niles, IL

Major Responsibilities:
  • Schedules patients ensuring accuracy of all information. Coordinates all information to ensure appropriateness of services being scheduled. Collects, analyzes and records accurate and compliant demographic and clinical information in the scheduling system. Meets or exceeds productivity standards.
    • 1)Identifies and responds appropriately to callers' communication needs, secures interpreter to complete scheduling and documents record for future visit.
    • 2)Provides patients with appointment date and time options, scheduling per patient preference or first appointment.
    • 3)Accurately enters all required patient demographic and clinical data in scheduling application.
    • 4)Checks receipt of faxed orders and reviews for accuracy. Documents record if new or revised written orders are needed on day of service.
    • 5)Schedules with proper sequencing, ensures there are no clinical, equipment or physician conflicts.
    • 6)Engages in frequent communication with all departments to ensure scheduling openings are current and time blocks are administered as needed.
    • 7)Explains procedures and provides patients/customers with accurate preparation information prior to exam. Ensures understanding of pre-procedure clinical requirements.
    • 8)Provides directions for patients to follow on day of service and ensures understanding of where to park, where to check-in, when to arrive, etc.
    • 9)Maintains schedules in accordance with the therapists/nurses schedules.
  • Performs revenue cycle activities that prevent payment denials, increase cash collections and assures appropriate financial disposition of account balances. Meets defined standards for quality. i.e., all components of the pre-reg process must be completed pre-service, including discussions with patients when necessary. Accounts should require minimal registrar intervention on the actual date of service.
    • 1)Verifies insurance eligibility, reviews and if applicable, notifies the patient's primary, secondary and tertiary insurance companies of the scheduled service and obtains benefit information and service authorizations.
    • 2)Communicates with appropriate persons regarding all aspects of pre-registration, registration, verification, precertification and date of service / insurance issues.
    • 3)Contacts the patient/representative, physician, insurance company or others if additional information is needed to financially clear patients on the date of service.
    • 4)Confirms service date/time/place with patients and reschedule services as needed.
    • 5)Review accounts for completeness and accuracy and updates account documentation/financial clearance disposition as needed.
    • 6)Provides patients with information about their arrival and service area needs. i.e., what time to arrive, where to park, where to go, what to bring with them. etc.
  • Accurately collects, records and analyzes all required demographic, insurance/financial and clinical data necessary to preregister/preadmit patients from all payer classes. Meets standards for productivity defined as 100% scheduled patients pre-registered prior to arrival.
    • 1)Collects and records accurate and thorough patient, guarantor, insured and insurance information when preregistering patient accounts.
    • 2)Scans printed orders into the patient's account or validates the patient is to bring on the day of service.
    • 3)Uses appropriate insurance codes accounts when Medicare is deemed secondary to other insurance.
    • 4)Performs an abbreviated screening of insurance benefits and attempts to fast pass pre-registered accounts when able.
    • 5)Records accounts notes and appropriately codes accounts for hand-off to financial clearance.
    • 6)Reviews physician orders and other documentation against Medicare payer coverage and medical necessity criteria; translates text into code and uses screening software to determine whether services being provided meet third-party requirements for payments. Sends electronic requests to physicians to obtain additional diagnoses on orders as needed.
    • 7)Identifies if authorization/prior approvals are required for scheduled services. Requests and documents as appropriate.
    • 8)Schedules patients without authorization to allow enough time to financially clear account. Escalates accounts to appropriate persons if time frame is shortened and account needs higher priority
  • Performance of daily maintenance routines for wound care department.
    • 1)Maintains department supplies/materials, including inventory, ordering and restocking
    • 2)Assists in the preparation and maintenance of patient files.
    • 3)Copies forms, reports, records. Addresses and fills envelopes for mailings. Sends copy requests to Copy Center.
    • 4)Orders food for therapy services.
    • 5)Sorts and distributes mail and reports to appropriate staff.
    • 6)Distributes office supplies and therapy materials upon delivery
    • 7)Accepts, verifies, and puts away supplies when delivered.
    • 8)Performs other clerical duties as back up or as assigned as transportation duties, deliveries of supplies and equipment, and complete errands throughout the department/hospital as needed.
  • As a Rehab Aide, completes preparation of patient for treatment to facilitate patient care.
    • 1)Prepares patient for treatment after having been instructed and credentialed in safety techniques and precautions. Includes, but not limited to, rolling up wraps when indicated, and washing and moisturizing affected areas under the direct supervision of the treating therapist.
    • 2)Assists or performs, under direct supervision of the treating therapist, hydrotherapy activities, after completing competency process including safety techniques and precautions. Hydrotherapy services include preparation of whirlpool treatments and cleaning whirlpool (s) as per department procedures.
    • 3)Removing bandages and dressings prior to treatment.
    • 4)Assists patient with dressing and undressing.
    • 5)Performs high level assistance with advanced therapeutic procedures with treating therapist. maintains high level competency in advanced procedures and modalities above expectation of level I rehab aide.
    • 6)Performs basic patient transfer techniques after having been instructed and credentialed in safety techniques and precautions, including stand pivot, slide board, sit to stand, and cart transfers under the direct supervision of a therapist to aid in the delivery of patient care.
    • 7)Communicates potential needs/patient problems and immediately notifies appropriate clinical staff.
    • 8)Follows proper isolation procedures/techniques
  • Performance of providing/assisting with clerical responsibilities as directed by supervisor/therapist.
    • 1)Maintains department supplies/materials, including inventory, ordering and restocking.
    • 2)Assists in the preparation and maintenance of patient files
    • 3)Copies forms, reports, records. Addresses and fills envelopes for mailings. Sends copy requests to Copy Center
    • 4)Orders food for therapy services.
    • 5)Sorts and distributes mail and reports to appropriate staff.
    • 6)Distributes office supplies and therapy materials upon delivery
    • 7)Accepts, verifies, and puts away supplies when delivered.
    • 8)Performs other clerical duties as back up or as assigned as transportations duties, deliveries of supplies and equipment, and complete errands throughout the department/hospital as needed.
  • Responsible for self-development.
    • 1)Attends scheduled staff meetings and inter/intradepartmental team meetings.
    • 2)Participates in hospital/facility activities, including inservices and educational programs.
    • 3)Actively works towards completion of individual and related departmental goals.
    • 4)Verbally or written expresses deficiencies noted in training and works with team leaders/senior clinicians for advanced training to meet deficits.
    • 5)Accepts and completes other duties and special projects as assigned.
Education/Experience Required:
  • HS diploma or equivalent. 2-3 years related experience in a healthcare setting (revenue cycle experience preferred), hospital, physician office or insurance company. Applicable education may be substituted. Basic knowledge of medical terminology. 6 months of on the job training to acquire skill competencies
Knowledge, Skills & Abilities Required:
  • Effective organizational and prioritization skills Good communication skills. Competency in all Rehab Aide II duties. Exhibits sophisticated interviewing, communication and negotiation skills. Possesses intermediate math and business writing skills Knowledge of office equipment Computer literate Demonstrated customer service skills.

Physicial Requirements and Working Conditions:
  • Ability to work in a fast-paced environment with established time constraints and emotional and sensitive situations. Employee is regularly required to sit, stand, walk, talk and hear. Must possess visual acuity and manual dexterity to perform computer data entry and other clerical aspects of the job. May bend, stoop, twist and reach in conjunction with the job requirements. May lift files, reference books, supplies, and other documents up to 10 lbs. May walk and push a wheeled cart with a computer and supplies weighing up to 50 lbs. This is both a sedentary and active position. Employee is regularly exposed to noise associated with working around others in an office setting. May be exposed to a variety of illness and medical conditions. Must be able and willing to work weekends, holidays and occasionally other shifts. Must be able and willing to rotate work environments. May need to work shifts at off-site locations. The physical demand level and degree of strenuous activity ranges from occasional sedentary work to regular heavy work involving moving/lifting of patients. * Ability to perform very heavy lifting - Up to 100 pounds occasionally and/or in excess of 50 pounds frequently and/or in excess of 20 pounds constantly. * Ability to assist, escort, transfer, and respond to patient needs for extended periods of time. * May be exposed to hazardous materials and life-threatening diseases. * Exposure to risk of blood-borne pathogens. * May be subjected to varying and unpredictable situations.
  • This requirement supersedes any previous lifting requirement effective 08/01/2014. Ability to lift up to 35 pounds without assistance. For patient lifts of over 35 pounds, or when patient is unable to assist with the lift, patient handling equipment is expected to be used, with at least one other associate, when available. Unique patient lifting/movement situations will be assessed on a case-by-case basis.
