Position Summary: This position is responsible for coordinating the logistics of drivers and/or field personnel in order to meet customer needs for well servicing. Demonstrates safe work habits and is able to follow instructions and works well as a team.

Essential Functions

Essential Functions Statement(s)

  • Answer incoming phone calls after business hours and/or when there is no receptionist to answer the phone. Messages should be written down on a log sheet, stating date, time, name of caller, phone number of caller, message or reason for the call. Ensure all messages are delivered, whether by spoken word, written note or e-mail.
  • Communicate with other dispatchers at the beginning of their shift; informing them of updates, changes and/or other information needed to successfully carry out their duties during their shifts.
  • Dispatch workers, work crews, equipment, or service vehicles to appropriate locations, as directed by Operations Manager using telephone or e-mail.
  • Communicates information to crew and field personnel.
  • Advise personnel about traffic problems, such as accidents, congestion, weather conditions, or other hazards.
  • Maintain control of DOT driver daily logs; reviewing for errors and reporting back to driver any need for corrections.
  • Provide DOT driver daily logs to DOT Regulatory Clerk or Manager for recording into Log Checker System.
  • Maintain control of Truck Books and distribute keys to drivers.
  • Keep record of jobs in progress.
  • Receive Job packets from field and forward to Operations Manager.
  • Arrange for vendors to set up and move light towers, safety showers, portable potty and/or any other necessary equipment as requested.
  • Distribute shipping papers and SDS sheets to drivers.
  • Receive Employee PTO forms, distribute to managers.
  • Monitor employees as they clock in and out. Keep backup record of time.
  • Ensure employees are following AST Facial Hair Policy before allowing clock in.
  • Monitor activity in building, shop and yard for purpose of identifying safety or security concerns. Have mental awareness of who is at the facility.
  • Maintain security of facility after business hours by checking doors and gate.
  • Notify appropriate AST staff of any after hour service issues. (Electricity, Plumbing, A/C and Heating, Phone, Internet etc.)
  • Perform other related tasks as assigned.

Skills & Abilities

  • Education: High School Graduate or General Education Degree (GED): Required
  • Experience: No prior experience necessary
  • Computer Skills: Knowledge in computer skills and standard office applications; MS Office; Outlook, Word, Excel.

Other Requirements:

If the position requires operating a motor vehicle; must have satisfactory driver record, with no DWI or DUI convictions within the past five years or currently charged with a DWI or DUI. Must have less than four moving violations within the last three years.

Work Environment

The work environment characteristics described here are respresentative of those an employee encounters while performing the essential functions of the job. The noise level in the work environment is usually moderate. The employee will routinely operate typical business office equipment, including computer hardware. Hand-eye coordination is necessary to operate computers and various pieces of office equipment. Specific vision abilities required by this job include close vision and the ability to adjust focus. May be exposed to dust, fluctuation in inside temperatures and electro-magnetic radiation as in a computer screen. Employee must possess the ability to sit for prolonged periods of time and stand, walk and communicate as necessary.
