Job Description: Front Desk and Marketing Coordinator

Position: Front Desk and Marketing Coordinator Department: Administrative and Marketing

Job Summary:We are seeking a dynamic and organized individual to join our plastic surgery office as a Front Desk and Marketing Coordinator. This role will be responsible for managing front desk operations and supporting marketing initiatives to enhance our brand presence and patient experience. The ideal candidate should possess excellent communication skills, a customer-centric attitude, and a strong understanding of both administrative tasks and marketing strategies.

Responsibilities:
Front Desk Operations:

● Greet and welcome patients and visitors with a warm and friendly demeanor.
● Manage patient appointments, check-ins, and check-outs efficiently and accurately.
● Answer phone calls, address inquiries, and provide information about our services.
● Coordinate patient scheduling and follow-up appointments.
● Maintain a neat and organized front desk area, ensuring a welcoming environment.

Patient Relations:
● Provide exceptional customer service, ensuring a positive experience for all patients.
● Address patient concerns, inquiries, and requests in a professional and empathetic manner.
● Assist with patient intake forms and ensure accurate record-keeping.

Marketing Support:
● Collaborate with the marketing team to execute marketing strategies and campaigns.
● Manage social media profiles and online presence, engaging with followers and responding to comments.
● Assist in creating content for social media, website, and other marketing materials.
● Help plan and coordinate promotional events, open houses, and workshops.

Administrative Tasks:
● Maintain patient databases and records, ensuring accuracy and confidentiality.
● Handle billing and insurance-related paperwork as needed.
● Manage office supplies and ensure stock levels are maintained.
● Assist with basic administrative tasks such as filing, data entry, and email correspondence.
Qualifications:

● Bachelor’s degree in business, marketing or a related discipline required
● Minimum of 2 years experience and a demonstrated track record of accomplishments
● Ability to think ahead and plan over a 1-2 year time span
● Ability to organize and manage multiple priorities

● Prior marketing development and product launch and deployment
● Problem analysis and problem resolution at both a strategic and functional level
● Technical skills in strategic planning and marketing, business and market development, market research and planning and promotions/advertising
● Must work effectively with Senior-level executives and staff; must also be able to work independently
● Must have strong interpersonal skills and good judgment and be capable of communicating with a diverse range of individuals
● Must have strong customer support orientation (for internal/external customers), demonstrated professional demeanor, and the ability to maintain confidential information
● Prior experience in customer service, front desk operations, or administrative roles.
● Proficiency in Asana, Google Suite, Canva, adobe premiere, fiverr, upwork.
● Excellent interpersonal and communication skills.
● Strong organizational and multitasking abilities.
● Empathetic and patient-focused attitude.
● Ability to work in a fast-paced environment and adapt to changing priorities.
● Experience in the healthcare or cosmetic industry is a bonus.

Job Type: Full-time

Pay: $15.00 - $20.00 per hour
