Office Manager Role at Advanced Eye Care, Dumas
At Advanced Eye Care, we help people find locations they can call home or where they can conveniently run their businesses. Smooth systems and processes are vital for us to succeed, so we require an office manager of personable disposition to join our team and learn the rewarding aspects of business management.
The job runs Monday through Friday and is a full-time position, with benefits such 401k, health insurance, and paid time off.
Job Duties
● Oversees general office operations and gives reports to the doctors
● Coordinates appointments and schedules and manages staff calendars
● Manages filing systems and office supplies, maintains IT infrastructure and keeps inventory of orders
● Oversees staff interactions and responds to their queries on office management issues
● Monitors office management and designs innovative work systems
● Works as a Human Resources advocate to update office policies and onboard new hires
● Oversees guest experience, sorts mail and answers direct phone calls
● Plans all in-house meetings and activities of the organization
● Typing in billing data into a computer for all services rendered with proper coding
● Filing claims submissions, receipts, and invoices
● Generating and sending bills and account statements to customers through various channels
● Receiving and checking payments through various methods
● Sending reminders for payments and contacting customers when assigned
● Searching for and resolving payment inconsistencies or errors
● Collaborating with patients, customers, third party institutions, and other team members
● Calculating and balancing the books on a daily and monthly basis
Required Qualifications
● Proven office management, administrative, or assistant experience
● Knowledge of office management responsibilities, systems, and procedures
● Excellent time management skills and ability to multitask and prioritize work
● Attention to detail and problem solving skills
● Excellent written and verbal communication skills
● Knowledge of accounting, data, and administrative management practices and procedures
● Knowledge of clerical practices and procedures
● Knowledge of human resources management practices and procedures
● Knowledge of business and management principles
● Computer skills and knowledge of office software packages
