Overview:
We are seeking a dynamic and customer-oriented individual to fill the role of Entry-Level Secretary and Sales Assistant. This position is pivotal in providing administrative support to our service operations while also assisting in sales activities to drive business growth. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a passion for delivering outstanding service to customers.

Key Responsibilities:

  • Administrative Support:
  • Front Desk Operations: Manage incoming calls, Making Calls, and handle inquiries promptly and professionally.
  • Appointment Scheduling: Coordinate service appointments for technicians, ensuring efficient allocation of resources and timely customer response.
  • Data Entry and Record Keeping: Maintain accurate records of service requests, work orders, and customer information using our database systems.
  • Sales Coordination:
  • Customer Engagement: Communicate with customers to understand their needs, provide information about our services, and offer solutions tailored to their requirements.
  • Sales Order Processing: Assist in processing service orders, generating quotes, and coordinating service contracts.
  • Follow-up: Follow up with customers to ensure satisfaction, address any concerns, and identify additional service opportunities.
  • Lead Management: Manage leads generated through various channels, qualifying prospects and coordinating follow-up actions.
  • Client Relationship Management:
  • Build and nurture strong relationships with customers, serving as a primary point of contact and addressing their inquiries and service requests promptly and courteously.
  • Proactive Outreach: Reach out to existing customers to provide updates on service offerings, promotions, and maintenance reminders.
  • Marketing Support:
  • Assist in marketing efforts by distributing promotional materials, updating the company website with service information, and contributing to social media content creation.
  • Documentation and Reporting:
  • Maintain comprehensive records of sales activities, service transactions, and customer interactions.
  • Generate reports on sales performance, service metrics, and customer feedback for management review.

Requirements:

  • Educational Background: High school diploma or equivalent. Additional education or training in business administration, sales, or customer service is advantageous.
  • Administrative Skills: Proficiency in office administration tasks such as data entry, document management, and scheduling. Strong organizational abilities and attention to detail.
  • Sales Experience: Previous experience in a customer-facing role, preferably in sales or service-related industries. Familiarity with sales processes and techniques is beneficial.
  • Communication Skills: Excellent verbal and written communication skills. Ability to engage with customers effectively, build rapport, and convey information clearly and persuasively.
  • Computer Proficiency: Comfortable using Microsoft Office Suite (Word, Excel, Outlook) and other business software applications. Experience with CRM systems is a plus.
  • Customer Focus: Customer-centric mindset with a dedication to providing exceptional service and support to customers at every interaction.
  • Team Collaboration: Ability to work collaboratively with colleagues across different departments to ensure seamless service delivery and achieve common goals.
