Acuity is seeking a Receptionist / Switchboard Operator to greet and assist visitors, agents, and the public. The Receptionist / Switchboard Operator will monitor guest lists and grant access to the building accordingly, while maintaining the switchboard communication system and efficient handling of phone calls on a rotating basis.

The Receptionist / Switchboard Operator will work to notify appropriate personnel of emergencies, take premium and claim payments from insureds, assist with Policy Assembly activities, and process ACMS transactions for Corporate Fax, Claims, and Commercial daily.

ESSENTIAL FUNCTIONS :

• Answer incoming calls and direct them to the proper parties.
• Distribute overnight messages to the appropriate individual or team.
• Greet, register, and assist visitors. Make all visitors feel welcome. Accept documents or locate the party being visited.

Page the party as necessary.

• Monitor the Galleria area for general safety and security.
• Assist with the assembly of personal lines and commercial lines print.
• Electronically file and process commercial, personal, claims and other corporate faxes received through the Automatic Content Manager System (ACMS).
• Electronically file Claim and Commercial documents through the Automatic Content Manager System (ACMS).
• Accept cash and check payments from insureds. Verify policy status, make change, and prepare receipts. Secure all cash and promptly notify the Cash Room

of payments.

• Make requested pages and special announcements.
• Place long-distance calls and connect conference calls at the request of employees.
• Assemble audit documents.
• Provide coverage during companywide events.
• Reasonably regular, predictable attendance.

EDUCATION : High school diploma.

High school diploma.

EXPERIENCE :

Previous receptionist and switchboard duties helpful.

OTHER QUALIFICATIONS :

• Excellent interpersonal skills.
• Professional image; professional business casual attire and good grooming.
• Willingness and ability to provide eight hours of coverage between 7 : 00 am to 6 : 00 pm, as needed.
• Strong attention to accuracy, neatness, and detail.
• Extreme reliability and responsibility. Excellent punctuality and ability to work independently.
• Exceptionally pleasant speaking voice.
• Pleasing and courteous disposition under pressure.
• Familiarity with switchboard communication systems.
• Computer and keyboard shortcut knowledge. Ability to achieve 6,000 - 6,500 keystrokes per hour on alphanumeric data entry with minimal errors.
• Willingness to share ideas and voice opinions constructively and professionally in monthly team and individual meetings.
• At least 90% of tasks are performed on-site to support workload.
• Bilingual skills valued.
