The Site Lead ("SL") is primarily responsible for the overall growth and well-being of their assigned office location with a client head count consistently ranging between 0-55 and 2-4 supervisors under the direction of the Executive Team. The SL is responsible for monitoring staff and clients to ensure compliance with all policies and procedures, oversee quality of services, support continuous improvement, and provide direction and accountability of staff's performance. This position helps to create and support a positive relationship between ACES staff and clients, and across ACES staff from both clinical and administrative departments.
  • The Site Lead will carry out the essential functions of a comprehensive clinical team (e.g., Treatment Initiation Manager, Outcomes Managers, etc) until the region is in good standing for these positions to be filled by other clinicians.
  • The Site Lead will carry out essential administrative tasks (e.g., iPad distribution, site scouting, orchestrating new hire training at a rented location, etc) until the region is in good standing for these duties to be filled by on site administrators.
This role will report directly to the Area Director/Regional Director who provides leadership mentoring and assists SLs with managing the growth and overall health of their region. The Site Lead will maintain a caseload of 4-5 clients with a billable standard of 3.5 hours per day.

Measures of Success:

The SL supports ACES overall mission and vision of Elevating the Standards in the Treatment of Autism. The SL plays a vital role in achieving our goals, and a successful SL will be able to achieve results in many areas of our business. The following provides a vantage of how we measure success of our SL position, and can evolve over time based on the needs and growth of the organization.

  • Clinical Support: SLs will monitor the clinical quality of client programs. Key measures of success include but are not limited to client utilization, client outcomes, and data book rubric scores. SLs may also manage the clinical program of a payer.
  • Administrative Support: SLs will conduct administrative duties necessary for the health and growth of their office by monitoring compliance of staff with ACES and funder policies and optimizing staff performance. Key measures of success include but are not limited to caseload management and billable standards of staff.
  • Leadership Training and Support: Under the guidance of an Area Director, SLs will support the growth of their supervisory staff by providing initial and ongoing training. Key measures of success include but are not limited to staff's completion and application of training to problem solve and collaborate with other departments to improve overall performance.
  • Office Culture Support: Under the guidance of an Area Director, SLs will promote a healthy ACES culture in their office. Key measures of success include but are not limited to effective management of Culture and BASE teams, as well as fostering ACES values.
  • Office Growth: SLs will promote growth of their respective regions by engaging in community outreach projects in an effort to acquire referrals to grow the region in terms of client numbers. SLs are responsible for growing their regions through the aforementioned activities and through managing local resources to process referrals, manage Supervisor caseloads, and communicate needs of the office to assist with growth.

Essential Responsibilities:

Working under the supervision of the Regional Director and in concert with department heads and the executive team, essential job responsibilities include, but are not limited to:
  • Caseload: Maintain a moderate caseload with a minimum of 5 clients (depending on the region) which allows SL to practice new pilots, provide BIC's with training opportunities, and keep up to date in the field. This includes collaborating with scheduling to ensure timely access to care by starting cases within ACES timeline (e.g., submitting timely staffing requests, starting cases within 24 hours of staffing offer, etc.)
  • Utilization Management: Conduct daily and weekly reviews and problem solving with supervisors of client utilization for collective office and at individual client level. Champion and lead office wide initiatives to increase and maintain optimal utilization.
  • Monitoring and Collaboration: Regularly provide collaboration on cases that are not progressing in alignment with their treatment plan (e.g., facing significant barriers to progress). Participate on cases that need advanced clinical consultation by working alongside the treatment team to modify treatment plan. Communicating with parents regarding any clinical concerns related to the client's program.
  • Monitoring SV billable standards: Collect exceptions and PTO requests, examine monthly summary numbers, regularly review planners and Power BI dashboards, assign hours as needed, develop goals and intervention plans as necessary, monitor hourly SV Level 1 ratio compliance.
  • Developing and monitoring SV caseloads and capacity: Update SV capacity sheet, assisting in monitoring credentialing, assigning distribution of caseload by time of day, region, qualifications, facilitating case transfers as needed, and communicating SV needs to the Recruiting department.
  • RBT management: Update RBT documentation as necessary, organize RBT "parties" and group study sessions, communicate board issues, assist in organizing competency exams.
  • BIC management: Identify BIC candidates as needed to ensure the region has a healthy pipeline of future SVs. Work with HR in regards to BIC and BCBA SV contracts. Monitor and mentor BIC progress.
  • Billing/Doc: Assist admin in monitoring Bill-to-doc data audits at 1:1s and develop and execute intervention plans on low performing staff.
  • Supervisor management: Conduct 1:1 meetings with supervisors, organize and conduct monthly group supervisors meetings including CEU facilitation, evaluate and request pay increases for staff, implement disciplinary procedures with staff, conduct interviews for New Hire or promotional applicants. Assign initial caseloads, conduct initial and ongoing supervisor training needs.
  • Communicating Expectations and supporting Department: Hold staff accountable to expectations from supporting departments. Promote positivity, flexibility and trust when changes occur. Develop a team environment and provide support to all departments at ACES (e.g., Front Office, IT, Scheduling, Contracts, HR, Training, Marketing, Business Development, Recruitment, Communication, etc.)
  • Lead Culture Team: Establish an effective culture team with guidance from ACES leadership team. Make immediate decisions if and when appropriate. Delegate and escalate issues appropriately. Support and participate in culture initiatives, such as Autism Awareness Month, BI appreciation month, etc.
  • Community Outreach: SLs will engage in outreach projects to support the growth of their region by meeting with physician groups, creating partnerships with schools and service providers (e.g. local SLPs and OTs), and connecting and maintaining relationships with local parent groups.

  • Minimum Master's Degree in ABA, psychology, social work or other related field and BCBA certification

  • Able to lift, carry, or handle up to 50lbs of material (i.e., boxes, furniture, etc.) as needed
