ACCO Engineered Systems is Hiring a Project Coordinator Near Costa Mesa, CA

General Job Description:

The Project Coordinator (Construction Jobsites) works closely with the Project Management, Field Management & Field staff who provides general office administrative support and overall project documentation control for projects at jobsite locations or associated branch office.

Essential Duties & Responsibilities

  • Jobsite Trailer/Office Set Up including securing the trailer, office furniture, internet, water services, supplies.
  • Ensure trailer/office is maintained, stocked, sign for deliveries, order F&B as needed; arrange for ACCO visitors
  • Manage project document control and Box folder.
  • Process and submit payroll for all field employees.
  • Review Daily Reports from our Field Foreman per trade, review for accuracy and post to Box and General Contractor Portal if required. Review certified payroll requirements for the project.
  • Review and submit Inspection Requests and place on Box.
  • Upload Safety PTP’s, Tailgates, JHA’s and COVID documents to Box in the jobsite folder. Send them to the GC per their requirements.
  • Print/order trade drawings as needed; download files/addendums/bulletins to Box/Bidtracer, slipsheet/overlay as requested. Notify Subs/Vendors, request quotes if needed.
  • Assist GF’s, Field Foreman project management staff as needed.
  • Secure, track and distribute site parking for project staff.
  • Track ACCO field employees per their zip code per PLA agreements.
  • Update Projection Tracking Spreadsheet.
  • Take meeting minutes as needed.
  • Create submittal binders and label accordingly for each ACCO trade.
  • As liaison for ACCO and ACCO subcontractors for the job, ensure subs are knowledgeable of required daily documentation. Managing and posting to Box.
  • Other tasks may include obtaining Compliance documents ACCO subs, insurance documents, confirming contractor’s license are not expired, ensure payroll is up to date for GCs, coordinating with ACCO certified payroll, document control, updating documents on Box, etc.
  • Jobsite badging for ACCO staff
  • Coordinate all job site ACCO new hires including application process/paperwork/new hire packets, badging and GC/jobsite orientation & safety training. Followup on documentation as needed; submit I-9s to E-verify. Coordinate onboarding with Construction Operations.
  • Assist with Bidtracer functions including new user setup requests, upload Submittals, RFI’s, Drawings, O&M’s, and sending correspondence/invites to our vendors, etc. Update RFI & Submittal Logs.
  • Assist with Project Schedule updates, run and download ACCO Field labor report and updated master project labor report.
  • Assist with monthly SOV/Billing packets; tracking equipment storage, equipment counts/measurements against mechanical schedule; documentation of equipment deliveries & invoices; track equipment rentals for COI
  • Assist with project closeout process and assembling required closeout documentation.
  • At project completion, organize and pack project documents for long term storage, work with PM and ACCO Facilities/Warehouse to disburse or store equipment, supplies and furniture; Coordinate trailer pickup/office shutdown and shutoff of internet, water service, etc.
  • Provide support to additional ACCO construction projects as needed and/or as workload allows.

Position Requirements (Skills, Knowledge, Abilities):

  • High School Diploma or equivalent required. Associate degree or higher preferred
  • 2 years’ experience and intermediate proficiency-level usage of MS Office applications, including Word, Excel, and PowerPoint, MS Project
  • 1 years’ experience/intermediate-level usage of desktop publishing software application(s); experience with Adobe In-Design, Acrobat, Bluebeam Photoshop, and Illustrator preferred.
  • Strong interpersonal skills and the ability to relate with a variety of departments and personalities.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills to handle multiple issues efficiently and completing work to a deadline.
  • Demonstrated service excellence (e.g., ability to participate in customer relation issues and find solutions to solve customer disputes).
  • General knowledge of the construction or service business is preferred, but not required.
  • High level attention to detail and ability to complete work to a deadline.
  • Able to participate in customer relation issues and find solutions to solve customer disputes.
  • Understand the necessity of maximizing the productivity of construction and technical workforce.
  • Understand the importance of handling sensitive and confidential information and documents.

HOURS:

This is a non-exempt position. Workdays are scheduled from Monday through Friday. Typically, work hours begin and end between 7:00 am and 5:00 pm as scheduled with the position's supervisor, with a minimum thirty-minute and maximum one-hour break for lunch, and two rest breaks. Occasional overtime may be necessary per business needs.

Competitive Wages: 

$22.60 to $37.02 per hour. Applicants please note that actual compensation is determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location, among others. The offered wage or salary is only one aspect of an employee's total compensation.
