In order to help us deliver on this mission, we are currently seeking an Office Coordinator to support the needs of our Cedar Park clinic.
Duties and Responsibilities Human Resources
Coordinate hiring needs with clinical director, HR and regional director as need
Conduct interviews set up by HR in collaboration with clinic director
Onboard new staff
Greet staff on their first day, communicate onboarding schedule, and make introductions
Ensure all new hire documentation is completed on their first day and send to HR
Assist with new staff training
Track staff absences and tardies and report data to directors
Communicate companywide updates and alerts to staff and families
Track staff RBT, BLS and related certification expiration dates
Schedule recertification appointments as necessary to avoid certification gaps
Assist in training trainers
Assist with RBT competency assessment as needed
Scheduling
Work 10 hours directly with clients a week to give clinicians a lunch break, manage call outs, etc.
Manage the daily client and staff schedule by ensuring all clients are scheduled for regular appointments and manage cancellations of staff and clients in a timely manner
Ensure compliance with the scheduling policy and procedure using available tools, such as the scheduling decision flow chart, to improve efficiency
Create new client and staff schedules as needed to respond to ongoing changes of availability and team requests from supervising BCBAs
Cover client sessions, if necessary, as a last resort
Create and maintain administrative calendars
Set up and plan company events including team meals, meet-ups, client and industry events
Office Coordination
Open the office in the morning
Compose communications, presentation materials from verbal direction or from knowledge of organization policy and procedures in an accurate and efficient fashion
Process incoming and outgoing mail; file documents appropriately
Scan documents and save in appropriate electronic files
Serve as first responder and problem solver for software, electronic device and maintenance issues
Maintain expense records and receipts and save in appropriate folders
Create and maintain documents and processes that ensure office efficiency i.e., contact lists, software licenses, computer distribution records, etc.
Audit session notes weekly and coordinate with appropriate parties to rectify identified issues
Identify office supply needs in coordination with lead RBTs
Office Safety & Maintenance
Understand ABA Connect’s safety policies and procedures and transfer this knowledge to all staff
Prep staff for emergencies by leading emergency drills and safety trainings
Identify, and alert directors of, safety and maintenance issues
Work with directors and outside vendors to resolve safety and maintenance issues
Encourage staff to be safety aware and to point out safety concerns to you or directors
Visually inspect fire extinguishers monthly to ensure: they’re easily reachable, use instructions are unobstructed and legible, seals and tags are in place and that they have not been used, their gage dials point to the green zone indicating they’re ready to use
Schedule annual professional fire extinguisher inspections with local third party vendors
Minimum Qualifications
1 years of experience as an RBT-required
Experience in an RBT leadership role
Maintain active certification as Behavior Analysis Certification Board Registered Behavior Technician
Have applicable knowledge of MS Word, Excel, PowerPoint and calendar applications
