Job Summary: The Corporate Administrative Assistant serve as the first point of contact for the organization and supports the day-to-day administrative needs of both the President and the organization as a whole. This position is performed in-office Monday through Friday 8:00am to 5:00pm.

Essential Job Duties and Responsibilities:

• Greets visitors to the organization
• Answers incoming calls and direct them to the appropriate person
• Assigns contractor badges
• Maintains visitor log, including a running list of visiting team members from other AAON locations
• Sets up travel accommodations including air travel, hotel, and rental car
• Books and sets up meeting rooms
• Orders meals for meetings and visitors. This could require driving to pick them up if they cannot be delivered.
• Plans and sets up offsite meetings, including making restaurant reservations.
• Composes and edits communications for leadership
• RSVP to community events where leadership is asked to attend
• Maintains the log for company vehicles and ensure all drivers are approved to drive
• Logs and sends approved invoices to A/P
• Coordinates onsite food trucks
• Helps with coordinating company events
• Orders office supplies
• Prints, fax, and copies as needed
• Assists with various company events
• Additional duties as requested

Education, Experience, and Other Requirements:

18 years or older. At least 5 years of administrative assistance with experience in manufacturing. Must have a valid driver's license

• Must have experience in the Microsoft suites including Word, Excel, and PowerPoint

Work Environment and Physical Requirements:

• Indoor professional office environment.
• Frequent exposure to manufacturing facilities with seasonal hot and cold temperatures, dust, and some chemical fume exposure.
• Ability to lift up to 50 pounds.
• This position may at times require travel.
