A Plus Optique is Hiring an Office Manager Near Fayetteville, GA

Drive profitable sales at A Plus Optique by fostering "A " customer service experience. Effectively planogram best sellers, including accurate and competitive pricing, proper signage, manage in-stock and inventory levels; budgeting and forecasting sales; and assessing economic trends and community needs. Identifying low-key performance indicators are such as 2nd pair sales, treatments, designer frames, and contact lenses. Provide coaching/training for staff and propose resolutions to increase the profitability of the store sales.

Models, enforces, and provides direction and guidance to Associates on proper Customer/Member service approaches and techniques to ensure Customer/Member needs, complaints, and issues are successfully resolved within Company guidelines and standards. Google reviews are monitored consistently.

Oversees the implementation of and participates in community outreach programs and encourages Associates to serve as good members of the community such as health fairs, trunk shows, etc.

Ensures compliance with Company and legal policies, procedures, and regulations for A Plus Optique by analyzing and interpreting reports; implementing and monitoring asset protection and safety controls; overseeing safety, operational, and quality assurance reviews; developing and implementing action plans to improve performance; providing direction and guidance on executing Company programs and strategic initiatives; and directing the associates on ensuring confidentiality of information, documentation, and assigned records (HIPPA).

Provides supervision and development opportunities for Associates at A Plus Optique by hiring, training, mentoring, assigning duties, providing recognition, and ensuring diversity awareness. Also, providing a positive working environment for the staff.

Ensures the provision of quality eyewear by consulting with and educating Members/Customers, selecting products based on Member/Customer needs, obtaining measurements, verifying prescriptions, maintaining confidential information, performing minor frame repair, and maintaining Optical equipment.

Upholds the Company's Open-Door Policy by meeting with Associates and listening to concerns, researching issues, reviewing Company policies and procedures, and suggesting resolution for Associates.

Key Responsibilities:

Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, bills, errands, shopping (on occasions)

Schedule meetings and appointments with frame reps, lab reps, and staff

Maintain weekly employee schedules that meet payroll guidelines and weekly, monthly, and yearly forecasts. Ensure associates receive weekly schedules in a timely manner.

Organize the office layout and order stationery and equipment. Orders over $200 require upper

management approval.

Maintain the office condition and arrange necessary repairs/maintenance.

Ensure monthly returns, defectives, and exchanges are completed on frames, lenses, and contact lenses. Verify that we received proper credit.

Assign and manage tasks to associates such as tray management, recalls, sending out monthly aged receivables, monthly returns, etc.

Ensure A Plus Optique is collecting any balances that are due from patients

Provide support to the billing team, credentialing doctors, and on boarding doctors.

Partner with owner to update and maintain office policies/handbook as necessary

Organize office operations and procedures

Ensure the company standards and open door policy are being enforced

Coordinate with IT department on all office equipment-when needed

Ensure that payroll is accurate and turned in time for staff including doctors

Manage contract and price negotiations with office vendors, service providers, and employee's pay

Manage office General and Administrative budget, ensure accurate and timely reporting

Conduct disciplinary actions and terminations of employment when company policy/procedures are violated. This also includes proper documentation and Department of Labor correspondence.

Lead by example as a manager to the associates at A Plus Optique

Conduct interviews, training, and onboarding process for new hires

Training associates on going and hold monthly meetings

Skills

Proven experience as an Office manager, front office manager or administrative assistant

Knowledge of office administrator responsibilities, systems and procedures

Proficiency in MS Office (MS Excel and MS Outlook, in particular)

Hands on experience with office machines (e.g. fax machines and printers)

Familiarity with making employee schedules

Excellent time management skills and ability to multitask and prioritize work Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational and planning skills in a fast-paced environment

A creative mind with an ability to suggest improvements

2 years of college: additional qualification as a Optical Supervisor a plus

A willingness to help wherever help is needed in the business and to work unsupervised is essential.

Incentives:

Monthly Bonuses based of the store's monthly sales and controllable income. Monthly goals are established based off of the previous 2 years of sales. An increase of 10% monthly is expected with controlling payroll, supplies, inventory. The store must make a profit from the increase in monthly sales and after controllable income is paid out (i.e. payroll, supplies, inventory, rent, etc.) before incentives are paid out.

Minimum Qualifications...

Minimum Qualifications: Completion of 2 or more years of college OR 1 year's retail experience and 1 year's supervisory experience OR 2 years' general work experience including 1 year's optical experience. Preferred Qualifications: Supervising employees experience
