A Family Dentistry is Hiring a Treatment Coordinator/Office Manager Near Poway, CA

LOCATION - POWAY

POSITION SUMMARY

The Office Manager/TC assists the owner doctor to achieve the goals and mission of the practice. The OM/TC will organize the office and utilize the staff to accomplish the goals of the practice. The OM/TC ensures the practice’s core values are being upheld, and that effective processes are being followed. The objective of this role is a smoothly run, effective office; where patients receive remarkable dental care and team members are achieving their personal, professional and financial goals through the growth of the practice. This position is also responsible for the Treatment Coordinator duties of closing or assisting in the closing of treatment plans generated by the doctor. The Treatment Coordinator takes pride in helping all patients and working towards the goal of having no patients with incomplete treatment plans. The goals are to provide a profitable practice, a great working environment, an excellent patient experience, and succeeding employees.

PERFORMANCE OBJECTIVES

  • Creates a positive, non-judgmental, and memorable experience for each patient.
  • Able to maintain good case acceptance to an appropriate level defined by upper management to keep office profitable and meeting collection goals.
  • Accurately and efficiently calculate the patients’ copay for their treatment plans according to the office’s financial policy and their dental benefits;
  • including accurately calculating patient’s insurance portion.
  • Follow up frequently with patients with outstanding treatment plans and get them closed or back on the schedule to see the Doctors or Hygienists.
  • May handle or assist with employee improvement programs and facilitate more training programs.
  • Provide Leadership to the team to have them succeed in their job and maintain high statistics.
  • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
  • Maintains office employee files for payroll and absences; implements an efficient system for other staff to access files and records in google drive.
  • Help run morning huddles and one-on-one meetings with direct reports.
  • Work with the team to get the schedule filled productively.
  • Gather patient testimonials and online reviews
  • Performs other related administrative duties as assigned.
  • Promote the company’s Mission, Vision, and Core Values to patients and potential team members.

KEY COMPETENCIES

  • Ability to type at least 60 words per minute.
  • Extensive knowledge of office management procedures.
  • Excellent verbal and written communication skills.

  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite, and Dentrix software or related software.
  • Excellent Leadership skills
  • Ability to act with integrity, professionalism, and confidentiality
  • Ability to demonstrate initiative and promptness.
  • Ability to to encourage and build mutual trust, respect, and cooperation among team members
  • Ability to explain dental conditions consequences of treatment & non-treatment, financial options, dental benefits in an easy to understand manner for the patient.

PHYSICAL REQUIREMENTS

  • Resides with or close to 15 miles of office location for reasonable commute

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.
  • At least two years of administrative and clerical experience is required.
  • At least two years of dental office experience is required.
