Position Summary

Reporting to the Administrator, the Staffing Coordinator processes service inquiries, referrals and intakes and assigns caregivers to client cases. The Staffing Coordinator works closely with marketing staff, Care Managers, Field Supervisors and caregivers to ensure that all cases are appropriately staffed in a timely manner and customer service issues are promptly addressed.

Responsibilities

  • Process and respond to all service inquiries and intakes. Communicate with referral sources, clients, family members and marketing staff regarding referrals, intakes received and case staffing. Complete intakes for prospective clients.
  • Set up/schedule client assessments.
  • Input intakes into Generations database.
  • Make excellent and timely matches between caregivers and clients based on a variety of factors including, but not limited to, caregiver demographics, skills, preferences, geography, and availability and client needs, preferences, and geography.
  • Input caregiver schedules and changes into Generations database. Staff out as far as possible, generally one month out as a minimum. Maintain accurate staffing calendar.
  • Ensure every shift is fully and appropriately staffed.
  • Confirm schedules with all assigned caregivers to ensure mutual understanding. Ensure that all caregivers have access to their schedule in the Generations system.
  • Ensure all clients/families have up-to-date monthly staffing schedules and/or access to their schedules in the Generations system.
  • Determine appropriate caregiver pay rates based on client billing rates, services needed and staffing criteria.
  • Take transportation requests and schedule with Concierge and other staff as needed.
  • Discuss ABS services with potential clients and referral sources both over the phone and in person.
  • Work closely with marketing staff and Care Managers to ensure all cases receive appropriate and timely communication, follow up and staffing.
  • Communicate effectively and in a timely manner with clients/families, referral sources and caregivers regarding complaints, staffing questions and needs. Work closely with Field Supervisors to ensure caregivers are effectively evaluated and concerns are promptly resolved. Follow ABS protocols in regard to complaint resolution, case discharges and client revocations.
  • Work closely with Accounts Payable/Accounts Receivable Coordinator to accurately process caregiver timesheets and ensure effective payroll administration.
  • Process and review caregiver applications. Input caregiver information into Generations database. Establish contact with new caregivers to review skills, status and availability.
  • Conduct interviews with caregiver applicants as needed.
  • Perform caregiver reference and background checks. Ensure caregivers are fully cleared prior to working. Schedule caregivers for new hire orientation and ensure completion prior to commencing work with clients.
  • Perform other duties as assigned.

Position Requirements

  • Minimum one year of healthcare staffing experience.
  • Experience using and/or ability to gain proficiency in using healthcare staffing software programs/databases. Experience using Generations software program preferred.
  • Experience performing client intakes.
  • Ability to effectively discuss issues of a sensitive nature with potential clients over the phone and in person, clearly community service options, and gather necessary information.
  • Ability to professionally represent ABS to clients and the public, both over the phone and in person.
  • Excellent interpersonal skills and ability to communicate professionally with a variety of constituents including caregivers, ABS staff, clients/families and community professionals.
  • Excellent phone etiquette and mannerisms. Ability to communicate effectively with prospective clients and the public over the phone.
  • Ability to clearly and concisely document client information and needs.
  • Ability to maintain the confidentiality of client and staff information encountered in the course of work.
  • Excellent verbal and written communication skills in English.
  • Organizational skills, accuracy and attention to detail.
  • Ability to consistently meet the required work schedule of 8:00 a.m. to 5:00 p.m. Monday through Friday. Ability to be on call on a rotating basis and/or as needed by ABS.
  • Knowledge of and proficiency in the use of office equipment and software programs including Microsoft Word and Outlook. Ability to learn how to utilize additional software programs and databases as needed.
  • Ability to foster and maintain cooperative working relationships with all ABS staff.

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
