Summary/Objective

As a Collections Specialist, you will be responsible for managing and overseeing the company's accounts receivable process. Your primary objective will be to ensure timely and efficient collection of outstanding debts while maintaining positive relationships with clients/customers.

Essential Functions 

  • Manage Accounts Receivable: Monitor and maintain accounts receivable aging reports, identifying delinquent accounts and initiating collection efforts.
  • Contact Customers: Communicate with customers via phone, email, and mail to follow up on outstanding invoices and facilitate payment arrangements.
  • Negotiate Payment Plans: Work with customers to establish payment plans when necessary, considering their financial situation and the company's policies.
  • Resolve Discrepancies: Investigate and resolve discrepancies in payments, billing, and invoices, collaborating with internal teams as needed.
  • Document Collection Activities: Maintain accurate records of all collection activities, including notes on conversations, payment arrangements, and any disputes.
  • Provide Customer Support: Assist customers with inquiries related to billing, payments, and account balances in a professional and courteous manner.
  • Report Generation: Prepare regular reports on accounts receivable status, collection efforts, and key performance indicators for management review.

Competencies

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred but not required.
  • Proven experience in accounts receivable management and collections.
  • Strong negotiation and communication skills, with the ability to effectively resolve conflicts and build rapport with customers.
  • Detail-oriented with excellent organizational and time management skills.
  • Proficiency in Microsoft Office Suite and experience with accounting software (e.g., QuickBooks, SAP).
  • Knowledge of relevant laws and regulations governing collections practices (e.g., Fair Debt Collection Practices Act) is a plus.

Education and Experience

  • High school diploma or GED diploma or equivalent required 
  • 5 years experience in collections and Accounts Receivable

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are variable and based on business need. Evening and weekend work may be required as job duties demand.

Physical Requirements

This position is indoors. Must be able to sit at a computer terminal for an extended period. May be asked to lift approximately 25 lbs. Exposure to moderate noise and light, i.e business office with computers, phone, printers, light foot traffic.
