Job Summary:

We are seeking a competent and professional Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing exceptional customer service while efficiently managing administrative tasks. This role requires excellent communication skills, a friendly demeanor, and the ability to multitask effectively in a fast-paced environment.

Responsibilities:

  • Greet and welcome visitors in a courteous and professional manner.
  • Answering and directing phone calls in both English and Spanish.
  • Schedule appointments and maintain calendars for executives and staff.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean and organized reception area.
  • Assist with administrative tasks such as data entry, filing, and photocopying.
  • Coordinate office supplies and inventory management.
  • Assist with event planning and coordination as needed.
  • Collaborate with other administrative staff to ensure seamless office operations.
  • Perform other duties as assigned by management.

Requirements:

  • Fluency in both English and Spanish (written and verbal).
  • Proven experience as a receptionist or administrative assistant.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and a friendly, professional demeanor.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent; additional qualifications in Office Administration or related field are a plus.
