Position Overview:

We are seeking a dynamic and experienced individual to join our team as an office Manager for our Franklin office location. In this role, you will oversee the day-to-day operations of our DODD/ODA agency, acting as a liaison between upper management, drivers, Direct support staff, and external entities to ensure efficient and reliable service delivery.

Responsibilities:

  • Maintain day-to-day operations of Non-Medical Transportation of the Franklin office location.
  • Act as a liaison between upper management and drivers, ensuring effective communication.
  • Handle financial matters for the Franklin location, including managing accounts payable and company American Express transactions.
  • Enforce company rules, policies, and procedures, ensuring compliance with regulatory requirements.
  • Obtain and maintain up-to-date information regarding Department of Developmental Disabilities (DODD) and Ohio Department of Aging (ODA) policies and procedures.
  • Conduct dispatching of drivers for both programs and complete weekly schedules for DODD drivers.
  • Organize and attend monthly driver meetings, ensuring open communication and addressing any concerns.
  • Maintain Excel tracking of expenses, gas forecasting, and annual cost of doing business reports.
  • Manage mechanics and oversee vehicle repair activities to maintain fleet reliability.
  • Complete bi-weekly payroll in conjunction with the CEO and submit reports to upper management.
  • Conduct Individual Employment Supports (IES) and Non-Medical Transportation (NMT) as needed.
  • Attend ISP meetings and monthly provider meetings as required by regulatory agencies.
  • Conduct annual employee reviews and handle HR matters as needed.
  • Submit weekly and monthly NMT billing to appropriate entities.
  • Promote 360 Total Care Home Care and collaborate with Home52 and its subsidiaries.
  • Be available for drivers between the hours of 5 AM and 6 PM to handle any issues or emergencies.
  • Handle accidents and towing incidents promptly and efficiently.
  • Order and maintain office supplies and ensure drivers have necessary supplies as mandated by regulations.
  • Prepare for and participate in annual audits for DODD and ODA, ensuring all documentation is complete and accurate.
  • Handle miscellaneous tasks assigned by upper-level management, CEO/CFO.
  • Ensure proper documentation is available to drivers, including timesheets, reports, and request forms.
  • Report all incidents to the appropriate hotlines and follow company procedures as indicated.

Qualifications:

  • Vast knowledge of DODD and ODA regulations and procedures is essential.
  • Moderate knowledge of vehicles and vehicular operation required.
  • Previous experience in transportation management or a related field required.
  • Strong organizational, communication, and leadership skills.
  • Ability to handle HR matters and financial transactions.
  • Proficiency in Microsoft Excel and other relevant software applications.

Job Type: Full-time

Pay: $21.28 - $25.00 per hour

Expected hours: 30 per week

Schedule:

  • 4 hour shift
  • 8 hour shift
  • Day shift
  • Monday to Friday
  • On call
