Job Description:
  • This position is for non-credit (competency-based, clock-hour) programs. Financial Aid Analyst will develop and apply consistent policies and procedures that meet federal, state and institutional requirements, the Office of Financial Aid and Support Services attempts to eliminate financial barriers for students who likely would be unable to pursue post-secondary education without financial assistance.
  • Analyze student financial aid applications in order to render eligibility determinations that are consistent with institutional, state, federal requirements, to make awards, and to verify eligibility for disbursement of funds.
  • Assist in the analysis of documents and the linking of documents used to determine financial aid eligibility.
  • Analyze conflicting information to determine proper student status within the institution and for financial aid awarding.
  • Verify financial aid information for the purpose of completing the file review and awarding processes for competency-based/clock-hour programs.

Special Assignments:

  • May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
Required Qualifications:
  • Knowledge of and ability to interpret rules, regulations and standards established by the College, state and federal entities, specifically for competency-based/clock-hour programs.
  • Ability to work under pressure and meet deadlines.
  • Ability to make decisions and work independently.
  • Strong customer service orientation.
  • Familiarity with computer applications related to financial aid as well as student information systems, plus flexibility and willingness to learn new systems.
  • Demonstrated ability to communicate effectively, both orally and in writing, with proficiency of syntax and grammar.
  • Ability to work well with students, staff and other offices for successful resolution of difficult problems.
  • Knowledge of People Soft student information system.
  • General knowledge of student loan procedures.
  • Ability to maintain accurate financial aid records
  • Ability to participate as a team member
  • Ability to understand and interpret rules and regulations and readily adjust to change.
Minimum Qualifications:
  • Some experience working in a financial aid office at a post-secondary institution of higher education
  • Some experience interpreting and applying federal and state regulations related to financial aid.
Preferred Qualifications:
  • Some experience reconciling and balancing financial accounts.
  • Some experience in coordinating office tasks and managing multiple projects, organizing, tracking and reporting information with specific attention to detail.
  • Some experience in a financial aid office coordinating work flow, and interpreting and implementing state and federal programs.
Job Duties:
  • Analyze financial aid applications to determine eligibility and identify discrepancies related to U.S. Department of Education database match failures for competency-based/clock-hour programs.
Role & Responsibilities:
  • Thoroughly analyze a proportionate share of student financial aid applications to determine eligibility for Title IV programs.
  • Perform and complete the verification process to ensure guidelines have been met in accordance with federal regulations.
  • Review and adjust student budget and enrollment levels.
  • Review eligibility criteria: financial aid histories, loan defaults and/or Pell overpayments; satisfactory academic progress; U.S. Department of Education database match results and reject codes; resolve discrepancies; program eligibility, and other factors.
  • Package and prepare financial aid awards.
  • Review documents received for completeness and accuracy.
  • To link complete files to student profiles through ImageNow .
  • Respond to student inquiries regarding the financial aid process and award/disbursement status information for competency-based/clock-hour programs.
  • Respond accurately and courteously to student inquiries regarding the status of their applications, appeals, awards, disbursements.
  • Answer basic information regarding other internal/external areas.
  • Find answers for students and refer only when absolutely necessary
  • Use electronic methods daily to stay current on program changes and policies.
  • Demonstrate proficient use of and knowledge from financial aid and college websites and publications: NSLDS, IFAP, NASFAA, FAA Access to CPS Online, SCHEV, VCCS, NVCC.
  • Read and respond to information provided by the College Financial Aid Office (CFAO).
  • Conduct research on problems before requesting assistance of the Assistant Director.
  • Know NVCC processes, policies and procedures and be able to explain them to students.
  • Observe the highest standard of confidentiality in working with students, student records, and NOVA information.
  • Provide assistance in other areas as requested, such as preparation of reports, disbursement and reconciliation activities, the development of forms and correspondence, the review of professional judgment appeals, outreach activities within the community, telephone coverage, and responding to student and staff inquiries.
