Job Summary:

Under the supervision of the Director of Operations, the Staffing Coordinator is responsible for managing clerical/scheduling activities that facilitate agency operations. The staffing Coordinator helps coordinate schedules, confirms with clients and optimizes staff utilization. These activities include but are not limited to coordination of employee schedules with client wants/needs and collaboration with the intake department regarding new admission.

Essential Job Functions:

Ensures that physician’s orders are communicated to the field staff with accuracy, thoroughness, and understanding.

Triages scheduling needs of referred new patients to ensure schedule has best available staffing option.

Maintain comprehensive working knowledge of managed care contractual relationships and ensure that patients are admitted, and services are delivered in accordance with contract provisions.

Assigns agency staff to patients as directed by the care plan and service request and completes predictive scheduling to plan for future scheduling capacity.

Maintains good working relationships and monitors field staff performance.

Participates in monitoring, and QA tasks related to key metrics such as productivity units, tardiness, late documentation, patient complaints and poor performance.

Monitors all aspects of patient care in an environment that optimizes patient safety and reduces the likelihood of medical/health care errors.

Addresses and supports cultural practices, as long as such practices do not harm others or interfere with the planned course of medical therapy.

Participate in daily Huddles, and collaborate on the scheduling of new admits, to ensure staffing resources are optimized. Report all scheduling exceptions and coordinate with the Director of Operations.

Maintain compliance with all state, federal, and Joint Commission when staffing.

Report to the Director of Operations any information received from a physician, patient, or employees regarding patents care needs and or concerns

Professional Requirements:

Minimum 2 years of healthcare staffing required

Adheres to dress code, appearance is neat and clean

Completes annual education requirements

Excellent customer services

Maintains patient confidentiality at all times

Reports to office on time and as scheduled, completes work within the designated time.

Participate in additional duties as required, including answering office phone

Attends annual review and department in-services, as scheduled

Participate in mandatory staff meetings and /or read and returns all staff meeting minutes

Represents the organization in a positive and professional manner

Actively participates in performance improvement and continuous quality improvement (CQI) activities

Complies with all organizational policies regarding ethical business practices

Communicates the mission, ethics, and goals of the organization
