Job Overview Under the direction of the Director of Clinic Operations, the Clinic Operations Manager will play a key role in ensuring overall efficient operations of the agency’s clinics. The Clinic Operations Manager will be responsible for supporting the Director of Clinic Operations with the organizational day-to-day needs of clinic operations for behavioral health, primary care, MAT, Psychiatry, resource center, dental services, and all other service lines offered by the clinic. Provide direct supervision of clinic staff. The Clinic Operations Manager will develop, execute and oversees aspects of service delivery, quality assurance, governmental regulations, licensing, regulatory compliance, program policies and practices, assess and addresses client access, needs, and issues. The position will be hands on, interact and coordinate with management, staff and patients.Key Responsibilities Administrative/Project Management/Policies:Ensure that all front and back office policies and procedures are current and make appropriate updates Continually assess and adjust patient flow for increased efficienciesCoordinate and delegate administrative and clinic maintenance responsibilities such as patient access, patient education sheets, patient experience surveys, chart creation and other special projectsAssist the Director of Clinic Operations Support in accreditation of NCQA’s PCMH (Patient Centered Medical Home)Participates on internal and external committees that promote and improve access to careAssist the Director of Clinic Operations in the support and manage Electronic Medical Records ensuring compliance with all applicable laws and regulationsAssist with implementation and operations of new services lines, delivery models, and integration with other HR360 departments Organizational Planning/Quality Assurance Improvement: Facilitate on-going organizational development, team building, and capacity buildingContinually assess the Program’s strengths and weaknesses as well as the changing client communities and service needsFacilitate coordination of care with other HR360 programs and outside entitiesSupports Quality Improvement activities and implements standard quality improvement tools to increase quality of carePerforms auditing to ensure compliance and quality of staff work Clinic Management:Responsible for direct supervision of management staff, as well as other support rolesSupports and coordinates operations for all clinical services (behavioral health, primary care, MAT, Psych, dental services, resource center, etc.)Coordinates with back office management to ensure operational efficiencyIn conjunction with the Director of Clinic Operations, leads team staff meetings to address personnel matters, operational issues, and to assist in resolving problems that may existIn conjunction with the Director of Clinic Operations, establish procedures for reception, intake, eligibility determination, assessment of non-billable sessions, and medical records filing, including scheduling of staff and task managementEnsures that appropriate staff are trained as CAA’sHandles aspects of management, including direct supervision and mentoring of subordinate staffIn consultation with leadership, addresses patient grievances, behavioral issues, and safety concernsAssists and supports supervisors with building provider and staff schedulesManagerial activities may include but are not limited to, participation in hiring, training, motivating, evaluating, and reviewing front office staff.May serve as Director in absence of Director of Clinic Operations. And, other duties as assigned.Education and Knowledge, Skills and Abilities Education and Experience Required: Bachelor’s in related field or minimumMinimum of 3 years management experience or equivalentExperience in a management role over systems and staffExperience participating in and leading organizational change and re-structuring.Excellent leadership, organizational and communication skills.Commitment to providing nonjudgmental quality health care to those in need.Experience and commitment to working with diverse communities.Desired:Master’s degree in related field.Background Clearance Required:Must not be on active parole or probation.Knowledge Required:Culturally competent and able to work with a diverse population.Strong proficiency with Microsoft Office applications, specifically Word Outlook and internet applications.Skills and Abilities Required:Detail oriented.Ability to enter data into various electronic systems while maintaining the integrity and accuracy of the data.Professionalism, punctuality, flexibility and reliability are imperative.Excellent verbal, written, and interpersonal skills.Integrity to handle sensitive information in a confidential manner.Action oriented.Strong problem-solving skills.Excellent organization skills and ability to multitask and juggle multiple priorities.Outstanding ability to follow-through with tasks.Ability to work cooperatively and effectively as part of interdisciplinary team and independently assume responsibility.Strong initiative and enthusiasm and willingness to pitch in whenever needed.
