PROJECT COORDINATOR – 3 - 5 years experience

Become an INTEGRAL Teammate of the Project Team

Immediate opening for a Project Coordinator position in our San Diego (Sorento Valley) office. Our company is a well-established general contractor based in Southern California listed in ENR’s Top 200 General Contractors. Project Coordinator is responsible for managing all administrative aspects of a construction project in support of the project Team, including invoicing, customer billings, Subcontractor invoicing, Change orders, Change Events (CE’s), etc. This individual must display a high level of professionalism, organization and cooperation with customers and coworkers with excellent communication skills.

Duties & Responsibilities:

  • Assist in setting up all project administration documents
  • Assist in setting up all project accounts of the assigned project
  • Must be proficient in Procore Management software
  • Must have accounting experience (minimum of 3 years) and able to work in an accounting software
  • Create all contract documentation including subcontract agreements, change orders and purchase orders.
  • Review, validate and process outside vendor and project team expenses
  • Monitor all project financials; tracking of project costs
  • Review customer billing requirements within the contract and complete as necessary; monitor payables beyond 30 days and notify Project Manager
  • Ensure project file integrity (confirm all project required documents have been received and fully executed i.e. bonds, insurance, signed subcontracts, signed change orders, valid licenses, subcontractor and vendor lien releases, etc.).
  • Knowledge and review California Insurance coverages (GL, Excess, Auto, WC, etc.) including understanding of endorsements
  • Issuance of Subcontractor and vendor payments
  • Work directly with account payables; subcontractors, accounts receivable, governing agencies, government reporting, i.e., Certified Payroll.

Required Skills & Background:

  • High School Diploma or GED
  • Experience working in a fast-paced office environment.
  • Office/Business support background
  • 5 years’ experience in construction project coordination
  • Computer Proficiency with MS Office; Email, internet, Excel, Word
  • Proficient with spreadsheets and software
  • Proficiency in Procore, Construction Management Software
  • Ability to multi-task and prioritize workload.
  • Exceptional organizational skills
  • Ability to manage multiple priorities, effective team player, self-motivated, quick learner.
  • Excellent communication skills with the ability to read, write and communicate fluently in English
  • Superior written, oral and digital communication skills
