You must be able to balance your role as both an empathetic team leader and business strategist, continuously looking for ways to improve NOI, the property, and your team while effectively communicating with corporate team members and ownership.

Detailed Job Description

  • Oversee the overall financial and operational performance of the property.
  • Support the marketing of the community and lead the team toward increased traffic resulting in qualified rental prospects.
  • Assist in the preparation of the annual budget and is responsible for staying within the established budget guidelines throughout the year.
  • Ensure routine expenditures are consistent with the property’s owner-approved budget. Control purchases and utilize the approved vendor lists.
  • Responsible for processing, approving, and submitting all invoices for payment on a weekly basis.
  • Responsible for maintaining and reconciling petty cash accounts.
  • Review rent roll, aging accounts, review capital and improvement programs, and identify risks and potential management issues.
  • Coordinate collection of all revenues.
  • Train, motivate, and supervise all on-site staff in order to achieve the operational goals of the property.
  • Conduct new employee indoctrination and annual performance reviews.
  • Review and approve timesheets.
  • Conduct ongoing training with office staff. This includes leasing paperwork, access to accounts payable and receivable systems, workplace safety, and any other type of training that may be needed on a daily basis.
  • Reconcile security deposit returns and move-out accounts; ensure all final charges are assessed and prepare final account statements in an accurate and timely manner.
  • Ensure bad debt process is followed and collections activity is monitored.
  • Work with the Service team to schedule turnovers, pre-inspecting of apartments, and move-out inspections.
  • Coordinate move-ins with the Leasing Staff and the Service Department.
  • Involved with the maintenance team and contractors providing services or repairs to the property to meet company standards and schedules.
  • The position will require meeting with residents and contractors to insure all are aware of issues, and the timing of work and be able to communicate concerns between the residents and the contractors.
  • Develop and maintain a positive relationship with employees, owners, residents, contractors, and visitors.
  • Supervise the filing of legal proceedings in accordance with city/county codes.
  • Investigate and respond to all written resident complaints received by Management.
  • Forward suit list to attorney on all delinquent tenants and when necessary, testify in court in connection with delinquent judgments and possession litigation.
  • Examine move-in accounts; ensure all recurring charges are assessed correctly prior to actual move-in occurs.
  • Review for accuracy of all advertising on a weekly basis or as necessary.
  • Contribute ideas to Regional Manager for marketing property and improving resident satisfaction.
  • Maintain a positive customer service attitude.
  • Promote goodwill among prospects, residents, coworkers, and contractors.
  • Provide supervision of routine maintenance service to residents and follow-up for assurance of resident satisfaction.
  • Physically walk and inspect the property on a regular basis; check on vacant apartments
  • Position reports to the Regional Manager.

Qualifications

  • Minimum 2 years of relevant experience in Property Management
  • Working knowledge of multifamily property management practices and processes: Fair Housing laws and regulations, building and grounds maintenance, resident relations, leasing, rent collection, eviction procedures, accounting principles, property safety, and use of property management and accounting software.
  • Excellent communication and interpersonal skills.
  • Detail-oriented and highly organized.
  • Strong customer service skills.
  • Skilled in time management and the ability to prioritize tasks.
  • Excellent critical thinking and problem-solving skills.
  • Knowledge of relevant landlord-tenant laws
  • A strong understanding of the bottom-line and comprehension of balancing income and expenses to ensure the best overall results
  • Efficient organizational habits and time management skills.
  • Must highlight emotional intelligence and exemplary customer service.
  • Applicant must possess excellent communication skills, both written and verbal.
