Position Summary

The Middle School Receptionist is integral in creating a welcoming and professional atmosphere for all students, parents, employees and visitors. The ideal candidate will be cooperative, friendly, and possess the ability to communicate effectively and courteously with a variety of individuals daily.


Essential Duties & Responsibilities

  • Greet students, parents, and visitors to the Middle School.
  • Notify the advisor, school nurse, and administrative assistant of late student arrivals, and help maintain accurate attendance records.
  • Follow established visitor procedures, manage sign-ins, issue badges, and escort visitors as needed; facilitate procedures with the Middle School Security Officer.
  • Answer phone calls, and redirect callers to the appropriate faculty member or department.
  • Handle all incoming and outgoing mail for the division, distribute correspondence to the relevant recipients.
  • Support daily Middle School operations, including changes in arrival and dismissal, assisting injured/sick students, and handling parent inquires about their children.
  • Maintain and update the daily Middle School digital announcement board, which includes daily schedule, clubs, events, and reminders.
  • Assist students with lost items queries, manage item drop-offs, and relay information to advisors.
  • Supervise the store or assist students in the absence of Bookstore staff.
  • Direct repair and service contractors to the appropriate department or personnel.
  • Assist in coordinating Middle School Admission mailings, including sending inquiry packets and letters to families.
  • Help with Bookstore deliveries.
  • Maintain an organized reception area, ensuring it is clean, safe, and presentable.
  • Assist the Business Office, Development Office, and the Head of Middle School with special projects as assigned and needed.

Knowledge, Skills, & Abilities

  • Appreciation for education, particularly in an independent school environment.
  • An Associate's Degree preferred.
  • Previous experience in a similar role and familiarity with school operations is preferred.
  • Excellent communication and interpersonal skills with strong attention to detail.
  • Strong organizational skills with the ability to multitask effectively.
  • Friendly, approachable demeanor with the ability to establish rapport with multiple constituencies.
  • Proficient in MS Office and Google Suite with ability to learn new and evolving software technology.


Physical Requirements & Work Environment

  • Ability to work in an environment that presents diverse challenges, deadlines, and contacts.
  • May work at a desk and computer for extended periods.
  • Ability to occasionally lift up to 20lbs.
  • Primarily work in a traditional, climate-controlled office setting.

FLSA Classification: Non-Exempt, Salaried

Reports to: Head of Middle School

Schedule: Monday - Friday, 7:30am - 3:30pm
