Construction Administration Specialist

Supervisor: Construction Administrator Lead

Classification: Full-Time, Non-Exempt

Summary Description:

The Construction Administration Specialist (CAS) is responsible for supporting the Project Management, Construction, and Operations & Maintenance teams through ownership of all administrative tasks throughout the lifecycle of a project, from handoff through warranty / service period.

Specific Job Responsibilities:

  • Create projects in Dropbox Master File Index and setup budgets, coordinating with Project Manager.
  • Initiate project start-up (Scoop, Raken, complete contract summary sheet and submit to accounting department).
  • Complete startups and renewals (e.g. utility locates, permit acquisition, bond acquisition, & project specific COIs).
  • Assist with project specific badging, when required.
  • Partner with the accounting department to ensure projects have necessary business licenses, applications and renewals in place. 
  • Update Dropbox project folders with copies of executed change orders, update change order request (COR) log, and adjust contract value within accounting software.
  • Create monthly draft project billing and work with the accounting department to ensure payments are received in a timely manner. 
  • Partner with Project & Construction Managers to address misc. data entry needs for Scoop and Raken.
  • Work with the accounting department to track and escalate issues with Accounts Receivables (ARs).
  • Assist with purchasing platforms and vendor accounts to ensure that projects have necessary materials needed to execute work timely. 
  • Monitor compliance for apprenticeship ratios, working with the labor compliance department and WECA (Western Electrical Contractors Association) to help ensure the company is meeting requirements on all projects.
  • Assist Project Manager with scheduling AHJ, utility and special inspections.
  • Distribute weekly field hours report to estimating and construction management teams.
  • Assist service department with administrative and billing items.
  • Coordinate with the marketing department for jobsite photo opportunities.
  • Assist Construction Manager and/or General Foreman with managing rental equipment & site service ordering, as well as tracking delivery & call-offs.
  • Oversee and audit field purchase orders (ex. Home Depot), ensuring project information is properly coded onto orders.
  • Work with concierge service to book field crew travel reservations.
  • Order sticker and placard creation, working with the field teams to coordinate orders and deliveries.
  • Organize project events (lunch meetings, team building events, etc.)

Required Skills/Abilities:

  • 3 Years of experience in a Construction Administration role, or equivalent.
  • Familiarity with Dropbox, SCOOP, and Google Applications Suite (Drive, Calendar, Sheets, etc.) or similar software.
  • Embody company behaviors consistent with company core values and always demonstrate those values interactions with internal and external stakeholders.
  • Strong written & verbal communication, organizational, decision-making, attention to detail, and problem-solving skills required.
  • Ability to work with a wide variety of construction groups: clients, office management, field management, and subcontractors.

The starting hourly base pay for this role is between USD $25.00 and $30.00 per hour. The actual base is dependent upon many factors, such as: location, training, transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.
