The Director of Agent Services is the key point of contact for every new KWRW associate. The DOAS immediately takes ownership of the relationship with the new associate upon their commitment to join KWRW, with the mindset that it is 100% his or her responsibility to take the associate out of the Team Leader’s hands, onboard them into the market center while creating a first class, organized, professional experience, and to teach that new associate all of the resources, technology and staff of the office so that they are a self-sufficient and well-trained KW agent.

The DOAS is responsible for Agent Onboarding, Training Management, Agent Care & Retention, Marketing the Value Story of KWRW, and provided critical administrative and operational support for the market center to run smoothly, provide a wonderful experience for every associate, and transform as many lives as possible!

Minimal Acceptable Standards - The 20% of this Role:

● 100% completed onboarding checklist 2 business days maximum of KWDFW license activation

● Minimum of 1 outgoing contact per week with each new associate in their first 90 days at KWRW - must be a call, voicemail, or face to face and logged in Command

● Minimum of 3 outgoing contacts per workday to associates who have been with KWRW for 90 days for retention purposes using approved retention scripts

● Minimum of 2 trainings attended per month by every new associate for first 3 months after license activation with KWRW (verified online training attendance is acceptable)

● Host at least 1 group orientations per month using approved orientation curriculum

● Acknowledge and/or respond to all associate inquiries same business day

Responsibilities and Tasks

Onboarding Process & Onboarding System Management

o Oversee completion of all KW paperwork at signing meetings

o Schedule and host orientations, tech training, etc for groups; 1-1 for cappers

o Manage all onboarding materials and systems (folders, paperwork, Action Plans, checklists, etc.)

o Complete all onboarding tasks within 2 business days of license activation

o Coordinate all aspects of Capper onboarding per Capper checklist

Agent Training & Events

o Manage all aspects of training calendar (monthly planning, scheduling all classes, scheduling & confirming teachers, preparing materials, etc)

o Host at least 1 group KWRW orientations per month using approved orientation curriculum

o Teach at least 4 trainings per month covering KW technology and/or marketing tools

o Display at least 3 Scott LeRoy Marketing videos in lab area per week

o Coordinate teachers, sponsors, food, marketing and materials for Weekly Business Conversations, and any other training classes as directed

o Create and maintain one up to date database of potential sponsors for training & events, including previous sponsorship amounts & dates

o Manage all aspects of Regional & National training including booking flights, hotels, restaurants, and taking care of non-KW guests

Associate Care and Retention

o Make at least 1 proactive contact per week with each new associate in their first 90 days at KWRW - must be a call, voicemail, or face to face. The focus of these contacts will be applicable training for their needs, KW technology, usage of the training calendar, and orientation to KDFW & office resources

o Operate as the go-to for every KWRW associate in regards to KW technology, resources, office questions, and more, with a focus on training associates to use resources and understand KWDFW systems so they can be self sufficient

o Implement Referral System including tracking referrals in STM, writing/delivering thank you notes & gifts, creating weekly posts/images for social media & newsletters, training associates to use the referral form, and mastering KW referral scripts to train associates to refer

o Complete all needed tasks for agent off-boarding once per week minimum (some agents must be off-boarded immediately, when directed)

Marketing and Sharing Value Story of Market Center

o Oversee Creation through the VA of graphics including LORE, Events, Top Performer Table, Referral Contests, New Agent Announcements, First Listing/Closing, Capping, and Monthly Birthday Graphic

o Dissemination of marketing materials on STM, Facebook Group, Facebook Page, Market Center TV’s, Text Messaging, etc.

o Creation of Capper marketing material (Press Releases, People on the Move submissions, special emails)

o Monthly marketing of Profit Share (class, checks, images, emails, Facebook)

o Create, oversee and manage contests, awards, and special events

o Create and send weekly Market Center Newsletter

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
