We are looking for a Project Coordinator (PC) to join our amazing Project Management Team!

(Local is preferred to our office in Marlborough, MA, with hybrid option) 

The PC is responsible for assisting the Project Management Team in the planning, management direction, project completion, client satisfaction, and financial outcome of assigned projects.

Essential Job Functions:

  • Collaborate with Project Managers to maintain client accounts efficiently. 
  • Provide coverage for Project Managers during their absence from the office.
  • Facilitate the acquisition of essential documents like Statements of Work (SOW) and/or Work Orders (WO) when required.
  • Generate contracts for both clients and independent contractors (Client Order Confirmation and TTA Order).
  • Coordinate with our Talent professionals for invoicing, expense documentation, receipts, and student feedback.
  •  Arrange and distribute Zoom and/or Microsoft Teams meeting links as necessary.
  • Create job orders in the CRM system based on project schedules.
  • Assist in compiling weekly/monthly reports for clients.
  • Manage courseware orders efficiently.
  • Ensure our Talent professionals are adequately informed and prepared for assignments by contacting them beforehand and confirming logistical details with client contacts.
  • Record Customer Requests accurately in the system.
  • Coordinate email blast requests to qualified contract Talent professionals as needed.
  • Respond to inquiries from our Talent professionals regarding posted requests.
  • Reach out to qualified Talent professionals regarding available assignments.
  • Schedule meetings as required.
  • Undertake any administrative tasks necessary to support the Sales and Operations team upon request.
  • Perform various tasks for the Operational Controller as a backup in her absence

Qualifications:

  • Team player with a positive, proactive attitude and growth mindset.
  • Minimum of 2 years' experience in a similar role supporting sales or operations teams.
  • Exceptional written and verbal communication abilities.
  • Strong organizational skills.
  • Demonstrated ability to prioritize tasks effectively and adapt quickly to changing priorities.
  • Willingness to learn and eventually train others on proprietary CRM systems, with prior CRM experience preferred.
  • Proficiency in Microsoft Office Suite and general software knowledge.
    • Typing proficiency of 60 words per minute or higher
  • Quick learner with the ability to grasp new processes and programs efficiently.
  • Capable of managing assigned projects independently.
  • Meticulous attention to detail.
  • Ability to handle multiple priorities simultaneously.
  • Takes ownership of delegated tasks and follows through to completion.
  • Willingness to assist in other departments beyond regular responsibilities as needed.
  • Flexible in adapting to various tasks and situations.
