HARP Authority

Office Coordinator

M-F between 8 am-5 pm

$16.30/hr.

DESCRIPTION OF POSITION:

This is a full-time, non-exempt position under the direction of the Executive Director or her assigns to perform support duties for the general operation of the Riverwalk and other general office duties, including promotions or event support as directed. The Riverwalk Office Coordinator works closely with the staff to provide high customer service to the public. The position demonstrates the ability to communicate effectively with people regardless of age, race, sexual orientation, ability level, or background. The position interfaces with community visitors, government officials, and donors.

DUTIES AND RESPONSIBILITIES:

General Office Support

Cover the Front Desk

· Greet and process visitors in a professional and courteous manner

· Provide answers to routine inquiries as appropriate

· Direct visitors to the appropriate meeting room

Receive and Process Inbound Communication

· Answer telephones in a professional and courteous manner, determine the nature of callers’ business, and transfer calls to the appropriate staff person or answer routine inquiries

· Record accurate and complete telephone messages and promptly relay messages to the intended person

· Respond or redirect email requests for general information

· Update and keep current the phone greeting system

Riverwalk Operations Support

Support the department managers in the areas of Operations and Maintenance, Events and Boat Operations, Communications and Development

· Respond to basic maintenance and operations requests as directed

· Collect and organize facility rental request information

· Collect and organize Veteran’s Bridge orders

· Collect and organize bench and garden gift information requests

· Maintain a centralized calendar for outdoor events and facility rentals

· Support boat and special event ticket sales

· Schedule and maintain updates to the website as directed

· Schedule meetings with the Riverwalk Business CAM group as directed

Perform General Clerical Duties

· Maintain confidentiality of all processed documents

· Open mail, time/date stamp, and distribute to the appropriate staff person

· Scan documents to staff members upon request

· Type, edit, and distribute correspondence as directed

· Maintain files, records, and reports as directed

· Arrange appointments and set up space for meetings as directed

· Organize and maintain office supplies

HARP Authority Board Duties

  • In consultation with the Executive Director, prepares and collects background materials and distributes HARP Authority board meeting agenda packets.
  • Attends all HARP Authority Board meetings.
  • Types, edits, files, and distributes HARP Authority Board meeting minutes and ensures follow-up on Board Action Items.

HARP Foundation Board Duties

  • In consultation with the Executive Director, prepares and collects background materials and distributes HARP Foundation board meeting agenda packets.
  • Attends all HARP Foundation board meetings.
  • Types, edits, files, and distributes HARP Foundation board meeting minutes and ensures follow-up on Board Action Items.
  • Maintains a volunteer database.

QUALIFICATIONS / SKILLS:

Must possess strong human relations skills and the ability to manage multiple tasks in a changing environment while remaining detail-oriented. The Riverwalk Operations and Office Assistant must be able to complete projects with limited supervision while working in a team setting with the professional staff of the Authority.

Physical requirements

  • Spend time sitting
  • Able to move constantly throughout the Riverwalk and office environment
  • Occasionally lift, carry, pull, or push up to 50lbs; occasionally stoop, kneel, balance, reach, crawl, and crouch while performing work duties
  • Able to operate a motor vehicle
