Job Overview

Lux HandyMan is one of Miami’s premier handyman service providers for residential and commercial. Our fleet is composed of individuals with various maintenance skill sets. Our team of handymen offer various trade skills in repair work, maintenance work, and interior & exterior, often called "side work" or "odd jobs." We provide an excellent level of service and professionalism with each job we do.

The Engineering Coordinator must be detail-oriented and possess excellent multi-tasking, communication, and problem-solving skills. The ability to pivot and prioritize in a high-energy, ever-changing atmosphere is a necessity.

Responsibilities and Duties

  • Share the common concept people who believe in treating others as we would have them treat us.
  • Check all chats for any missed requests from the night prior (emergencies and or guest requests needing immediate attention). Create tickets if needed.
  • Create tickets for services requested by the Operations team.
  • Update HK & PM when maintenance is completed, for cleaning and or photoshoots.
  • Daily data entry of open work orders in the database.
  • Revise and assign Unit Inspection Reports as maintenance tickets to the appropriate platform.
  • Maintain daily service orders of all maintenance repairs, notations, and pictures needed in the appropriate platform for safekeeping.
  • Monitor the platform for urgent needs and coordinate the assignment of tickets with the Chief Engineer.
  • Communicate with the Housekeeping & Property Management department when technicians’ tasks are completed for cleaning and/or photo shoot purposes.
  • Communicate with Chief Engineer to advise owners, if necessary, on the following issues arising:
    • Emergencies
    • Repairs exceeding $250.00
    • Replacement/repairs of appliances with estimates
    • Questions on service orders
  • Communicate with Hotel Residence Managers as needed.
  • COI Updating and making sure the hotels have them if requested. LRMB & Outside vendors.
  • Coordinate tasks with 3rd party vendors as needed (A/C company, plumber, appliance company, etc.)
  • Pay vendor invoices, mark them accordingly, and enter as Bill in the database.
  • Schedule Monthly, Annual Maintenance, and Preventative Maintenance ongoing projects.
  • Order inventory as necessary and update spreadsheets accordingly. Search for alternative options as needed.
  • Keep inventory of materials/supplies and place corresponding orders, as directed.
  • Maintain the inventory storage area organized.
  • Ensure all tickets on TRACK have pictures and corresponding data to close out.
  • Compare and add last-minute tickets from the prior day to the weekly schedule and create a service order for billing.
  • End of the day wrap-up Call technicians and confirm tasks assigned have been completed.
  • Compile, verify, sort, and prioritize information in open service orders to prepare maintenance schedules for the following day.
  • Finalize and assign schedules to each technician in preparation for the next day.
  • Collaborate and support cross-functional teams with diverse tasks as assigned.
  • Create service orders in TRACK for all completed tickets.
  • Transfer service order details to the Billing spreadsheet.
  • Add receipt expenses to the billing spreadsheet and TRACK.
  • Enter the bill in the internal database so LRMB will be reimbursed with a 25% LRMB surcharge.
  • Close service orders when the above tasks are completed; notate the billing sheet accordingly.
  • Create and submit invoices to clients.
  • Reconciliation of Amex Cards with Receipts (run AMEX Expense Report scan receipts at the end of the month.
  • Process service orders at month’s end.
  • Ensure the Monthly billing spreadsheet is accurate and complete by end of the month.
  • Report any team absentee and PTO requests to the Chief Engineer, Director of Ops, and HR.
  • Keep information confidential.
  • And any other duties needed to help fulfill our Mission and abide by our Organization’s Values.

Qualifications


Skills & Qualifications

  • A minimum of 5 years of work experience in a similar role.
  • Hotel and property management maintenance experience is a plus.
  • Extensive experience with data entry, record keeping, and computer operation.
  • Type accurately and prepare and maintain accounting documents and records.
  • Strong understanding of business and income worksheets and computations.
  • Proficiency in Microsoft Office (OneDrive, SharePoint, Teams, Excel, Word, etc.) and/or some knowledge of bookkeeping software preferred (i.e., QuickBooks).
  • Experience using office equipment, like printer and scanner (Scan documents and print files, when needed).
  • Willingness to work both independently and as a team to meet quick deadlines and objectives.
  • Excellent verbal and written communication and listening skills are required.
  • Extremely organized with exceptional communication skills.
  • Detail-oriented with an aptitude for problem-solving.
  • Proficient computer skills in articulating emails and spreadsheets.
  • Excellent time management.
  • Attention to detail and accuracy of work.
  • Proficiency in all types of administrative duties.
  • Proven data entry and administrative work experience.
  • Excellent knowledge of correct spelling, grammar, and punctuation.
  • Organizational skills, with an ability to prioritize tasks while staying focused to ensure all assigned tasks are completed in a timely manner.
  • Typing speed and accuracy.
