Description

About the Position

This position will assist the Chief Financial Officer (CFO) in all finance, accounting, reporting, banking, purchasing, payroll, pension and benefits matters as directed, and work as a back-up team mate with other co-workers and internal colleagues, particularly in accounting, the business office, purchasing and human resources. This position will be responsible for appropriate disbursement of funds from Louisiana Women’s Healthcare (LWH) payroll and accounts payable functions.

Requirements

Job Responsibilities

  • Prompt payment of practice expenses, including invoice entry, coding and general ledger management, verification of accounts payable legitimacy and accuracy, and maintenance of record keeping with consistent controls and approvals. 
  • Prompt and accurate processing monthly and bi-weekly payroll for over 300 employees and physicians, and related general ledger coding, controls, reports and analysis in a manner that is fully compliant, with accounting integrity, and reflects the judicious stewardship of precious resources.
  • Perform monthly pay calculations for senior physicians, associate physicians and mid-level providers.
  • Perform, track and oversee incentive pay for employees as applicable.
  • Recordkeeping, filing, oversight and issue facilitation related to pension and benefits related accruals, deductions, contributions, accounting and coordination with the Sr. Manager of Human Resources (under the oversight and direction of the CFO) for updated plan documents, open enrollment, and benefits management, as well as benefits reconciliations, tracking and monitoring of refunds and credits (including reinsurance payments).
  • Oversight of health benefits claims, payment reconciliation, and related accrual management.
  • Ensure supplies are received prior to processing invoices, and review for legitimacy and accurate payment management.
  • Monitor and track overtime and other labor expenses; as appropriate establish and maintain reports and analysis for controls as well as business decision support.
  • Synthesize and analyze expense operational trends, banking matters, productivity and labor related matters; prepare graphs and charts for presentations and as decision support.
  • Assist in the maintenance and routine upkeep of financial and accounting databases and spreadsheets, including the charge master, fee schedule, physician monthly volume, physician financial and operational metrics.
  • Assist with the oversight, recordkeeping, and management of vendor contracts related to the purchase of supplies and equipment, and related contracts (such as maintenance and support agreements).
  • Establish and maintain controls for inventory with LWH and the Louisiana Women’s Center for Aesthetics (LWA).
  • Effective communication with vendors and employees, in addition to working collaboratively with the LWH business office, purchasing, and human resources teams.
  • Reconciliation of bank statements.
  • Maintain electronic and hard files in a timely and consistent manner.

Knowledge, Skills, and Abilities (KSAs)

  • Accounting, record keeping, processing and analytical abilities related to practice management functions of a physician enterprise, including, revenue cycle, accounting payable, accounts receivable, human resources, benefits and pension management, managed care contracting decision support, operational and financial oversight, and purchasing. 
  • Strong collaboration and teamwork skills.
  • Proficient using spreadsheets.
  • Effective verbal and written skills.
  • Experience with the following (or similar) software systems and platforms: Epic Access & Revenue Cycle, Epic Analytics & Insights, Aesthetics Pro (scheduling and business support system for an aesthetics center), Microsoft Office, Excel, Sage Intact, Paylocity, Bill.com.

Education/Training/Experience

  • College degree preferred in accounting, finance or business administration.
  • Minimum 2 years experience in payroll processing and accounting functions, preferably in a healthcare system, hospital or physician enterprise.
  • Experience in the accounting and business support functions for Human Resources department is a plus.
  • Educational and professional experience specific to accounting and/or bookkeeping required.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, with accuracy, timeliness, integrity, methodically, consistency, and within the context of the direction from the CFO and based upon solid accounting principles. Consistency and reliability in terms of maintaining a daily, onsite, work schedule, and limited absences outside of approved Paid Time Off. Professional demeanor with the ability to maintain strict confidentiality – in fact and in appearance. Must be objective and analytical.
