Director of Student Accounts/Office Manager

School Overview: Christ the King Jesuit College Prep, a Catholic school on Chicago’s West Side
and a member of the Cristo Rey Network, challenges and inspires its young women and men
through the integration of academics, work experience, and extracurricular activities to lead lives
of integrity, faith, and servant leadership for the greater glory of God. We serve students in
grades 9-12, through an innovative corporate internship program which allows students from
families of limited financial means to earn the majority of their tuition costs through jobs in
professional settings. Christ the King prepares each student for college through our rigorous
college preparatory curriculum and Corporate Work Study Program. We are proud that each
year, every Christ the King graduate is accepted to college. The Class of 2024 marks our
thirteenth consecutive class of 100% acceptance!
Job Summary: The person in this position is responsible for ensuring the efficient operation of
Christ the King Jesuit College Prep administrative office and acting as the first point of contact
for staff, students, and visitors. Reporting to the Chief Financial Officer, CTK’s Director of
Student Accounts/Office Manager serves a critical role in providing administrative support to the
President, Principal, Chief Financial Officer, administrators, office and school staff, and students
by managing the school’s financial records and transactions, answering /screening phone calls,
preparing correspondence and other written communication, receiving and responding to
inquiries and requests, managing crisis situations, handling confidential information, and other
related duties.
Essential Duties and Responsibilities:

  • Perform financial duties for the school including collecting monthly tuition payments,
book fees, Corporate Work Study Fines (CWSP), student ID fees, CTA Ventra Bus Card
purchases for spring/summer and fall/winter. Reporting variances to supervisor,
maintaining bookkeeping-related databases; performing purchasing card requisitions,
receiving, inventorying, and delivering incoming shipments; maintaining and organizing
invoices and packing slips; creating and submitting reports to Financial Services and
ordering office supplies. Maintaining office equipment and making sure it is working
properly. Input data information in Blackbaud software daily. Assist the counselor/nurse
in nursing needs for the school.
  • Provide administrative/secretarial support to Principal, administrators, and school staff by
creating and maintaining filing systems, distributing incoming mail, and other related
duties.
  • Greet, welcome, and assist all staff, students, parents, community members, callers, and
visitors to the school. Answer incoming calls to the main phone line, provide
information, deliver messages, and direct callers to appropriate individual. Assist visitors,
answer inquiries, provide information, and direct them to appropriate school areas.

Diffuse conflicts and/or difficult situations as needed in the school office. Monitor
students sent to the school office for disciplinary reasons.

  • Monitor building visitors, visitor sign-in procedures, and building activities including crisis
situations such as building evacuations, lockdowns, emergency situations, and safety
procedures. Monitor and initiate crisis procedures in the administrator’s absence with
direction from appropriate officials.
  • Perform personnel management functions including managing student records and
tuition payments and maintaining confidentiality of all related data. Perform other job-
related duties as assigned, including providing back-up coverage to other positions,
assisting students when nursing needs are needed and contacting parents/guardians, as
necessary.

Education and Related Work Experience:

  • Associate degree/bachelor’s degree
  • Must be a minimum of 18-year-old.
  • Post secondary courses in business, office management, bookkeeping and/or office skills.
  • Minimum of four years’ experience in clerical support positions. Office management
experience preferred.
  • Experience working with students preferred.

practice safe work habits, utilize appropriate safety equipment and report unsafe
conditions to the appropriate administrator.

Materials and Equipment Operating Knowledge:

  • Operating knowledge of and experience with personal computers.
  • Operating knowledge of and experience with Microsoft Office Suite, including Word,

Excel, PowerPoint and Blackbaud.

  • Operating knowledge of and experience with typical office equipment, such as
telephones, copier, fax machine, E-mail, and postage machine.
