We are a practice with patients who have been with us for more than a decade. Must be able to handle front desk duties, and triage patients when necessary. Their main role is to serve as a point of contact for the patients before and after their appointment, recording interactions and tracking files as necessary. Medical front desk agent communicate with outside medical institutions like laboratories and private practices that treat the same patients.
Duties and Responsibilities:
· Developing procedures to deliver optimal patient care.
· Daily administrative operations of the clinic.
· New patient intake, insurance verification, scheduling, collections of copays, posting encounters, etc.
· Ensuring policies and procedures of the clinic are functioning in accordance with HIPPA regulations.
· Acting as liaison between patients, their families and additional care staff.
· Provision for the certification and recertification of Patient Safety Organization (POS’s).
· Maintain and organize electronic medical records with meticulous attention to detail.
· Manage online, Phone and in-person room reservations.
· Update doctors about the status of tests or schedules changes.
· Securely gather patient information and enter it into digital and physical database for east reference, sending hard copies of patient files to other Doctors and insures when necessary.
· Answering phone calls, scheduling appointments, check insurance eligibility.
· Collect Co-pay, Prescription refills and carious other office related duties.
· Prepare examination/Treatment rooms and medical instruments.
· Monitor post visit follow-up, including future diagnostics test.
Requirements and skills:
· Prior medical office manager experience preferred.
· Computer knowledge of medical office software preferred.
· Clear background check.
· Communication skills to converse clearly over the telephone and in person.
· Organization and time management to manage a variety of tasks effectively.
· Attention to detail to schedule patients correctly and communicate scheduling difficulties with providers.
· Technological skills, such as using word processing and spreadsheet programs to track data.
· Interpersonal skills to interact positively with patients who may be upset or stressed.
· Schedule follow-ups send prescription request to the patient’s pharmacy, collect payment and update information in the office’s online patient portal.
· Minimum education should be High School or equivalent.
· Establishment of a patient safety database.
· Check and send emails with ability to maintain calm, polite and patient in stressful situation.
· Knowledge about health care insurance, pre-authorization, insurance verification, medical terminology, CPT codes and ICD-10 codes.
· Track patient charges, file claims, patient admissions and scheduling.
