Job Summary:

The Office Manager for a dental office oversees the administrative operations to ensure smooth functioning and efficient patient care delivery. They are responsible for managing staff, maintaining office procedures, overseeing financial operations, and ensuring regulatory compliance.

Responsibilities:

  • Staff Management: Supervise and coordinate the activities of administrative and support staff. Hire, train, and evaluate employees to maintain a competent and motivated team.
  • Patient Relations: Ensure excellent customer service by addressing patient inquiries, complaints, and concerns promptly and professionally. Foster a welcoming and supportive environment for patients and visitors.
  • Appointment Scheduling: Oversee appointment scheduling procedures to optimize patient flow and maximize provider productivity. Coordinate with clinicians to accommodate urgent appointments and manage scheduling conflicts.
  • Billing and Financial Management: Manage accounts receivable, accounts payable, and financial reporting processes. Monitor billing activities, insurance claims, and patient payments to ensure accuracy and timely reimbursement.
  • Regulatory Compliance: Ensure compliance with healthcare regulations, including HIPAA, OSHA, and state licensing requirements. Maintain up-to-date knowledge of regulatory changes and implement necessary policies and procedures.
  • Inventory Management: Monitor inventory levels of dental supplies, equipment, and office supplies. Place orders, negotiate pricing with vendors, and oversee inventory replenishment to ensure adequate stock levels.
  • Technology Management: Oversee the implementation and maintenance of dental practice management software and other technology systems. Train staff on software usage and troubleshoot technical issues as needed.
  • Quality Assurance: Implement quality assurance protocols to ensure consistency and accuracy in patient care delivery and administrative processes. Conduct periodic audits to identify areas for improvement.
  • Budget Planning: Assist in developing and managing the annual budget for the dental office. Monitor expenses and revenue streams to identify variances and adjust spending as needed to meet financial goals.
  • Team Collaboration: Collaborate with dentists, hygienists, and other clinical staff to address operational issues and improve patient care processes. Foster a collaborative and supportive work environment.

Qualifications:

  • Bachelor's degree in healthcare administration, business management, or related field (preferred).
  • Previous experience in dental office management or healthcare administration.
  • Knowledge of dental terminology, procedures, and billing practices.
  • Strong leadership and interpersonal skills.
  • Excellent organizational and time management abilities.
  • Proficiency in office software applications and dental practice management software.
  • Understanding of regulatory requirements and compliance standards in healthcare.
  • Ability to work independently and collaboratively in a fast-paced environment.

The Office Manager plays a critical role in ensuring the efficient operation of the dental office, supporting both administrative functions and patient care delivery. Job Type: Full-time

Pay: From $20.00 per hour

Expected hours: 40 per week
