We are currently seeking an Outpatient Office Assistant/Receptionist for Riveredge Hospital. Simply apply to the posting and discuss your interests with the hiring manager if you are selected to come in for an interview.

The Outpatient Office Assistant/Receptionist provides clerical and general support to the Outpatient Department; to promote the effective flow of information and to manage office services in a manner that positively supports hospital operations and is consistent with the philosophy and objectives of Riveredge Hospital.


Essential Functions and Responsibilities:
  • Open and close clinic on assigned days including providing necessary documents to ensure clinic runs efficiently and effectively (e.g., sign-in sheets, billing log, necessary assessments, provider schedules, necessary charts) prior to start of shift.
  • Answer telephone calls, route calls, provide information, take messages, and check voicemails and emails in accordance with outpatient procedures.
  • Assist in scheduling and adjusting consumer appointments to maximize consumer care.
  • Greet visitors and consumers entering the outpatient and alert appropriate staff of consumer/visitor arrival.
  • Register consumers in appropriate systems, provide necessary paperwork and ensure all consumers are in proper system for billing.
  • Collect necessary check-in forms to provide to provider prior to start of visit.
  • Collect necessary charts from providers to ensure all documentation (notes, scripts, escribes, communication log) are entered.
  • Enter and maintain new and existing consumer records: ensure appropriate information is updated timely.
  • Collect and maintain current insurance information in consumers' files.
  • Process consumers payments or contact business office.
  • Provide balance and statement for consumer if applicable.
  • Make follow-up appointments and provide next appointment card; make follow-up appointment calls.
  • Make necessary copies of documents, as needed.
  • Scan billing and other essential documents to necessary parties after close of clinic
  • Follow-up with no show consumers to reschedule appointment.
  • Use computer, fax, or courier service to transmit information or documents.
  • Make follow-up calls, as needed.
  • Keep the front desk and reception area clean. Organize charts and documents - keep current and neat.
  • Adhere to procedures and policies necessary to discharging consumers and purging files.
  • Adhere to procedures and policies necessary to maintain HIPAA compliance.
  • Other duties as assigned.
Qualifications:

Education/Job Experience/Certification:

  • HS diploma/GED required; Associate degree preferred.
  • At least 2 years’ experience in office/clerical support.
  • At least 1 year experience in a psychiatric setting is preferred.

Special Knowledge and Qualifications:

  • Excellent telephone etiquette
  • Ability to interact effectively with persons in crisis or resistant toward organization.
  • Excellent organizational and time management skills
  • Professional office administration.
  • Strong interpersonal and communication skills required.
  • Is open and respectful of cultural and socioeconomic characteristics of all and is willing and competent to work with a diverse client population.
  • Effective verbal and written communication skills.
  • Ability to work both independently and a part of a high functioning team.
  • Experience and ability to use computers for data entry, communication and report writing.
  • Knowledge of all code procedures with the ability to react calmly and effectively in emergency situations.
