Director of Advancement Services
Coe College seeks qualified candidates for the position of Director of Advancement Services. This position leads and manages the staff, programs, budget, and all operations of the advancement services department. The department is responsible for the security and integrity of information as it relates to alumni and donor activity with the College. This activity includes gift administration, records administration, targeted stewardship initiatives, portfolio optimization, and major gift prospect research. Additionally, the department compiles and disseminates biographic and giving data for utilization by the office of Advancement and other departments in the College. Furthermore, the department manages the technological resources needed to help all Advancement departments achieve their objectives. The director ensures smooth advancement operations and compliance to advancement regulations and best practices.
Essential Job Responsibilities:
  • Lead, oversee and supervise the advancement services areas of prospect research and data management; removing obstacles and equipping and empowering the team to be successful.
  • Serve as Advancement’s primary stewardship officer, developing and enacting targeted stewardship communication plans for new, recurring, payroll, and major gift donors.
  • Project manager for the coordination and production of the Annual Report and customized impact reports.
  • Monitor the establishment and configuration of gift funds and ensures the stewardship activity of appropriate fund donors.
  • Provide the Vice President for Advancement with financial reporting for institutional benchmarking purposes and data analysis to measure success and inform fundraising strategy.
  • Prepare various reports including, but not limited to campaigns, Courier, Annual Report, CFAE/VSE, Iowa College Student Aid Commission survey, ACM surveys, Business Office, and auditors, etc.
  • Certify advancement information accuracy and that FASB and CASE standards are followed, staying current on all fundraising best practices and legislation.
  • Review all memorandums of understanding and gift agreements prior to final authorization or submission for compliance and clarity.
  • Confirm accuracy of pledges and communicate with the Business Office to ensure the College is following the guidelines of the auditors.
  • Continuously evaluate existing procedures and database functionality, working directly with campus IT, the advancement data systems manager, and third party vendors on recommended improvements.
  • Serve as a builder of campus and off-campus colleague collaborations and efficiencies.
  • Document and maintain director-related processes and procedures. Ensure the documentation of all advancement services processes and procedures across all roles.
  • Other duties as assigned.
Qualifications:
  • Bachelor’s degree with 5-7 years of progressive managerial experience or equivalent combination of education and experience.
  • Advancement services leadership experience in a higher education environment highly preferred.
  • Demonstrated success in the development and execution of strategic stewardship initiatives that form lasting connections and inspire philanthropic support.
  • Demonstrated success in database administration, preferably The Raiser’s Edge NXT.
  • Demonstrated experience in budget management and contract negotiations.
  • Must be currently authorized to work in the United States as visa sponsorship is not available for this position. Applicants must be authorized to work for ANY employer in the United States as we are unable to sponsor or take over sponsorship of an employment Visa at this time.
  • Successful completion of background and driver checks in accordance with Coe College policy.

  • Strong understanding of scalable forecasting models, data analytics, and overall financial audit
  • Ability to work independently and collaborate with others in support of departmental objectives.
  • Proficient in Blackbaud, Jenzabar One, InfoMaker, SQL and Microsoft applications with strong command of Microsoft Excel.
  • Ability to recruit, train, inspire and supervise direct reports, setting clear expectations and KPIs.
