Deposition Solutions is Hiring a Search Services Specialist Near Boston, MA

Lexitas is a legal support company that offers an array of services including court reporting, medical record retrieval, registered agent services and legal talent outsourcing. Our Boston, MA office, part of our Registered Agent Business Unit, is currently looking for a Search Support Specialist.

SUMMARY: 

The Search Services Specialist is responsible for supporting clients by providing an all-inclusive, comprehensive customer service experience that encompasses advanced support for issues with deliverables and client requests, answering a wide array of questions that range from general to specific about billing, products, and services. Demonstrate excellent customer relations and achieve a high level of quality results in a timely and efficient manner.

ESSENTIAL FUNCTIONS:

  • Handle incoming requests from customers regarding lien and other search services, while accurately interpreting which services are being requested and confirming that what we intend to deliver to the client will fully meet the needs they’ve demonstrated. 
  • Responds to and resolve incoming client and affiliate requests, queries, issues and concerns via phone and email.
  • Responsible for inputting search orders into our tracking system and discerning/assigning related tasks.
  • Demonstrate an ultimate mastery of differing search logic across several databases, and recognizing how to query depending on the prevailing logic.
  • Perform requested searches in a timely fashion with a strong understanding of what is being sought, as well as the factors that would disqualify an item from inclusion with our results.
  • Recognizing the standard set of parameters for a particular search and distinguishing deviations if requested by customer
  • Reporting search findings in an accurate and concise fashion
  • General office administrative duties, including but not limited to telephone answering, scanning, record maintenance.
  • Other duties as assigned.

 COMPETENCIES, SKILLS AND ABILITIES

  • Ability to gather, organize, analyze, and compile data.
  • Experience searching public records and/or willingness to learn.
  • Ability to multi-task and effectively handle multiple time-sensitive projects.
  • Ability to work both independently and in a team environment.
  • Effective communication (verbal and written) and relationship building skills.
  • Must be very detail-oriented with strong organizational skills.
  • Must be very dependable
  • Ability to be self-directed and work efficiently with minimal supervision.
  • Exceptional phone etiquette and professional demeanor.
  • Must be computer literate; Intermediate level skills with MS Office; Word, Excel and Outlook are required.

EDUCATION / EXPERIENCE

  • High school education or equivalent required.
  • Associate degree or equivalent required.
  • Minimum 2 years’ experience in customer service or legal industry preferred.
  • Basic legal, paralegal experience preferred 
  • Experience with /public records /search reporting is a plus.
  • Constantly strives to achieve excellence in day-to-day operations of respective department.
  • Works collaboratively with all members of management to resolve departmental and organizational challenges expeditiously, economically, professionally and with minimum disruption to the practice.
  • Team player approach.

SUPERVISORY RESPONSIBILITIES

This role is not a supervisor position.

LANGUAGE SKILLS

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
