Report to: ED/Principal

Coaching support provided by: Senior Director of Operations 

Employment Terms: 12-month position 

 

OPERATIONS MANAGER JOB SUMMARY: 

The Operations Manager plays a crucial role in ensuring the smooth functioning of various administrative, operational, and logistical tasks. This position requires a high level of organization, attention to detail, and effective communication skills. The Operations Manager collaborates with the Senior Director of Operations and school administration, staff, and external stakeholders to support the overall functioning and success of the school.

 

ESSENTIAL FUNCTIONS OF THE OPERATIONS MANAGER *JOB MAY INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

Recruitment and Enrollment: 

  •  Manage student recruiting and enrollment under the guidance of the Senior director of 

 operations 

Facilities Management:

  • Oversee the maintenance, cleanliness, and security of the school buildings and grounds.
  • Coordinate repairs, renovations, and maintenance activities in collaboration with the appropriate departments or contractors.
  • Ensure compliance with health and safety regulations and maintain records accordingly.
  • Manage inventory and ordering of supplies, equipment, and furniture.

Transportation Coordination:

  • Organize and manage transportation services for students, including buses, routes, and schedules.
  • Collaborate with transportation vendors to ensure safe and efficient transportation operations.
  • Maintain accurate records of transportation-related activities, including attendance and disciplinary actions, if applicable.

Event Planning and Support:

  • Assist in the planning, coordination, and execution of school events, such as parent-teacher conferences, assemblies, and field trips.
  • Arrange necessary logistics, including room bookings, equipment, and transportation for off-site events.
  • Collaborate with teachers and other staff to ensure events run smoothly.

Administrative Support:

  • Provide administrative assistance, such as drafting correspondence, maintaining records, and preparing reports.
  • Ensure fidelity of the Infinite Campus student information to ensure system-wide consistency in use 
  • Support in ensuring that ATS and state-level data systems are up-to-date and accurate 
  • Conduct data entry, analyze and report on operations data, including data required for school, board and regulatory reporting 
  • Assist in managing school-wide databases, student information systems, and other technological tools.
  • Support academic operations staff in ensuring that academic materials at the schools are inventoried on a regular basis 

Safety and Emergency Preparedness:

  • Collaborate with school administration and staff to develop and implement safety procedures and emergency response plans.
  • Conduct drills and training to ensure staff and students are prepared for various emergency situations.
  • Maintain and update emergency contact information for students, staff, and parents/guardians.
 

KNOWLEDGE SKILLS, ABILITY, AND QUALIFICATIONS REQUIRED

 
  • Bachelor's degree in business administration, education, or a related field (preferred).
  • Previous experience in school administration, operations management, or a similar role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in using computer applications and relevant software.
  • Knowledge of safety regulations and emergency protocols.
  • Ability to work collaboratively with diverse stakeholders.
  • Problem-solving skills and ability to multitask effectively.
  • Flexibility to adapt to changing priorities and handle unexpected situations.
  • Must have the ability to report to work on a regular and punctual basis.
