Summary

The King County Executive Office is seeking an External Affairs Coordinator to support the external relations work of the office. This role will also manage the Boards and Commissions portfolio in the office. This position reports to the Director of External and Regional Relations in the Office of the King County Executive.
This position serves as a member of the extended Government and External Relations team in the Office of the King County Executive.

Job Duties

  • Oversee the appointment process for all Executive Branch appointments to King County boards and commissions.
  • Compose appointment letters, transmittal letters, and legislation appointing and/or reappointing individuals to a King County board or commission.
  • Maintain the official database of Executive Branch appointments to King County boards and commissions, as well and other databases.
  • Oversee the collection of annual financial disclosure forms submitted by all board or commission members, and then record and file them.
  • Assign and troubleshoot board member email accounts for all King County boards and commissions members.
  • Maintain the boards and commissions website (Sitecore10).
  • Create or revise application and board member orientation materials, as needed.
  • Conduct staff liaison orientation trainings (as requested).
  • Foster good working relationships with the staff liaison for each board or commission, as well as various King County departments, Executive, and Council staff.
  • Be familiar with boards and commissions governing documents including the Washington State Open Public Meetings Act, King County Public Records Act, Executive Policy on boards and commissions, Robert’s Rules of Order, and each board’s enabling legislation.
  • Support serving as a liaison to communities and attending community events and meetings on behalf of the Executive,
    • Support coordinating creation of and deliver proclamations, letters and videos on behalf of the Executive.
  • Support staffing Executive Constantine and developing materials for his meetings and event appearances.
    • Developing briefing materials and tracking staffing for the Executive for external engagements.
    • Coordinate the development of briefing materials amongst executive office staff, department staff, and external partners as appropriate.
    • Attend and staff the Executive at external and internal events as needed.
  • Support internal and external event planning as needed.
  • Participate in team and program meetings as requested.
  • Other duties as assigned.

Experience, Qualifications, Knowledge, Skills

  • Minimum 2 years office experience, experience working with a cross functional team and diverse clientele.
  • Strong problem solver, comfortable making decisions within the scope of the role.
  • Proficient in the use of Microsoft products including Word, Excel, Outlook, One Drive, Teams, and SharePoint.
Desired Qualifications:
  • Proficient in planning and organizing a large volume of administrative tasks and able to establish work priorities.
  • Prior experience serving on, or working with, boards or commissions.
  • Skilled in customer service including internal and external,
  • A skilled communicator. Able to share information accurately and efficiently.
  • Demonstrated ability to communicate effectively, both orally and in writing
  • Demonstrated ability to manage time and multiple priorities effectively.
  • Be able to work on their own with little to no supervision.
  • Strong organizational skills.

WORK LOCATION and TELECOMMUTING REQUIREMENT
The work associated with this position will be performed in a hybrid fashion of on-site and telework. Employees will also have access to shared workspaces at King Street Chinook Building at 401 5th Avenue in downtown Seattle. There will be situations where the employee may be required to report to a County worksite or community meeting. Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.
To support employees during this time King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will be joining an innovative and progressive team.
WORK SCHEDULE:
The Executive Analyst position is exempt from the provisions of the Fair Labor Standards Act and is not overtime eligible. The typical workweek is 40 hours per week, Monday – Friday. This position is not represented by a labor organization.
