Position: PROJECT COORDINATOR 
Duration: 6 months
Location: Onsite

Position Overview:

The Project Coordinator (PC) provides essential administrative support to the Department, associated bureaus, and direct reports. Effective communication with diverse audiences, both verbally and in writing, is crucial, as is the ability to give and receive feedback constructively. The PC should be adept at project coordination, taking initiative, and executing project administration tasks to support the department management team. Organizational skills, attention to detail, and proactive problem-solving are key competencies for this role.

Detailed List of Duties and Responsibilities:

  • Track, maintain, and coordinate procurement actions, action items, risks and issues, and next steps related to the administrative needs of the IT Department.
  • Develop and nurture effective relationships with project team members, senior leadership, and stakeholders for all administrative projects.
  • Prepare presentation-ready project reports using graphics and desktop publishing software, integrating word processing and spreadsheet files into reports. Design templates for reporting and communication.
  • Coordinate conference calls and meetings for multiple teams/projects, including preparing agendas and recording meeting minutes.
  • Manage financial responsibilities, including invoice management, requesting funds for upcoming expenses, and tracking budgets.
  • Review and approve system support/procurement tickets, ensuring alignment with business justifications and gathering additional information as needed.
  • Maintain relationships with Help Desk, Asset Management, and Desktop teams to ensure timely resolution of open requests from project teams.
  • Demonstrate flexibility in managing both strategic and tactical tasks as required.
  • Adhere to established Commonwealth policies and procedures related to project management methodology and quality assurance.

Qualifications:

  • Knowledge and experience in a healthcare information technology environment.
  • Ability to develop and maintain effective relationships with management, business users, and project team members.
  • Strong interpersonal skills to interact effectively with technical personnel and various technical resources, both FTE and Contractors.
  • Excellent oral and written communication skills, including the ability to translate and communicate technical concepts to non-technical stakeholders.
  • Ability to assess priorities and adapt to meet dynamic team needs.
  • Ability to work independently, prioritize tasks, and process work activities efficiently.

Job Requirements:

  • Bachelor's degree or equivalent.
  • Minimum of three (3) years of Information Technology project experience.
  • Experience in preparing project and procurement documentation.
  • Proficiency in MS Office applications including Excel, Word, Visio, Outlook, and PowerPoint.
