EMBRACING ABILITIES. EXPANDING POSSIBILITIES.Easterseals Chicago Family Connections (CFC) provides services in Early Intervention. The CFCs support families of infants and toddlers who have delays in development or are at risk for significant developmental delay. We serve the south side of Chicago and the southwest suburbs with locations in Evergreen Park (CFC #8) and the Tinley Park area (CFC #12).

The primary responsibility of the Administrative Assistant/Parent Liaison will be to provide quality customer service and ongoing administrative support for the Child & Family Connections Program, under the direction of the Program Manager.

This position is located in Child Family Connection #8, at 9730 S. Western Ave., Evergreen Park, IL 60805.

MAJOR FUNCTIONS/ACCOUNTABILITIES:

Administrative Assistant:

  • Assists in the day-to-day functions of the operation of the Easterseals Child and Family Connections (CFC) program.
  • Answers telephone and greets visitors, and directs callers to appropriate parties. Screens incoming telephone calls, handles routine matters and refers others to an appropriate staff member; takes and transmits messages as required.
  • Screens and ensures that visitors and callers are treated courteously by office staff and that other visitors are screened and properly directed.
  • Responsible for retrieving and transcribing messages from the voicemail each morning.
  • Prepares outgoing mail with postage when needed.
  • Receives, sorts, and distributes incoming mail.
  • Collects documentation during the initial assessment and enters materials into the Cornerstone system.
  • Maintains client files for both open and closed cases.
  • Attends meetings, staffing, and conferences when appropriate.
  • Generates daily reports, distributes bus cards, and audits program and personnel files.
  • Types of correspondence, reports, memos, meeting minutes, and other documentation for various departments. Assembles material for reports and meetings; distributes to appropriate parties.
  • Maintains the appearance of the front office, kitchen, conference, and supply room areas.
  • Performs other duties per request from staff at Child & Family Connections.

Parent Liaison:

  • Serve as a member of the service team to promote family-centered policies and practices at the local level.
  • Participate in the quality assurance process by promoting family-centered service delivery and representing the family perspective.
  • Provide information and support to families throughout the transition process.
  • Provide parent-to-parent support:

- at the time of program entry

- during the initial evaluation/assessment process and service plan development

- during the six-month and annual review

- on-going throughout the program, as needed.

  • Participate in staff meetings, team and agency training, and staff development.
  • Develop and coordinate opportunities for parent-to-parent linkages.
  • Provide parent resource and referral information.
  • Notify service coordinators if families have issues that cannot be addressed by a Parent Liaison or that require a licensed counselor.
  • Participate on the LIC and assist in recruiting parent members.
  • Document casework within the Cornerstone system.
  • Attend training as required to obtain and maintain the appropriate credential.

Requirements

Education/Certification:

  • Some college education; general and business courses preferred.

Experience Required:

  • Five or more years of previous clerical/administrative experience in a professional office environment.
  • MS Office proficiency and Internet business research experience.
  • Parent of a child with a disability.

Vehicle/Transportation Requirements:

  • Valid driver’s license.
  • Auto insurance.
  • Reliable vehicle.

Skills/Abilities:

  • Must have the ability to work well with all levels of the organization as well as outside clients/customers.
  • Must be well organized, highly detailed oriented and accuracy driven.
  • Must have the ability to perform multiple projects.
  • Must have the ability to manage small financial accounts.
  • Excellent communication and customer service skills.
  • Bilingual preferred in Spanish.
