CELESTINE is Hiring a Seasonal Events Coordinator Near Brooklyn, NY

Job Description: 

We are seeking a highly organized and experienced Event Coordinator to assist with day of coordination for weddings and private events at Celestine. This is a seasonal, part-time position based on event bookings, with 1 weekly administrative day and an estimated 2-3 on-site coordinating days per week. The current contract period will be April 1 - November 1st, with the possibility of extension based upon the events calendar and performance. 

Rates:

Admin - $25/hour (4 - 6 hours per week, dependent upon event schedule)

Coordination - $50/hour (16-30 hours per week, dependent upon event schedule)

*event coordination schedule will be determined at least 1 month out at all times

Ideal candidate is / has:

  • Previous experience in event coordination and/or planning, ideally in the wedding space
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to work well under pressure in a fast-paced environment
  • A community-oriented team player 
  • Computer savvy (Google suite, Canva, etc)
  • Proactive, a self-starter and a problem solver
  • Restaurant industry experience
  • A people person; outgoing, friendly, and warm with a strong interest in making others feel at home and taken care of
  • Knowledge of the Brooklyn area and local vendors is a plus
  • Availability to work evenings and weekends

Duties:

Administrative

  • Create, print, & pick up menus for all event types
  • Assist with Resy as needed for all event types
  • Print floor plans, BEOs, printed collateral, cut & assemble, organize in office for upcoming events
  • Upload & keep current all events execution materials in weekly handover folder, ensure management and team have access
  • Miscellaneous admin assistance where needed (e.g. data entry, deposit reconciliation) if schedule permits
  • Meet with Event Management and clients for an overview meeting before coordinating event
  • General support for Event Management as workload permits

Venue Coordinator/Captain

  • Coordinate and execute floor plan, decor, and run-of-show of private events as planned in conjunction with EM and client (detailed in steps of service)
  • Support client on the day-of: ensure they feel relaxed, cared for, and heard
  • Make game-day decisions in collaboration with client and staff (ie. weather, last-minute changes, adjusted decor placement, etc)
  • If another captain is assigned (e.g. on days where there is more than 1 private event) ensure captain has all prints & information they need to succeed
  • Participate in correspondence beginning 1 week before event
  • Participate in rehearsals of ceremony if applicable 
  • Respond to text & phone correspondence from client and vendors on day of event
  • Send notes/EOS to EM, ED, and GM upon completion of event
