Part-Time Office Specialist IV

School of Behavioral and Social Sciences

St. Edward's University of Austin, Texas invites applications for the position of Office Specialist IV in the School of Behavioral and Social Sciences. This is a part-time position (16 hours per week, 4 days per week). Hours can be flexible.

The position reports to the Dean, School of Behavioral and Social Sciences. The person in this position performs any combination of administrative duties for the Office of the Dean and supports the Dean, staff, faculty, and students of the School.

Essential Responsibilities Include:

  • Provide comprehensive administrative support in daily activities by managing the office, scheduling meetings and meeting spaces, drafting agendas, sending reminders, preparing/gathering materials for pre-meeting distribution, distributing all post-meeting materials.
  • Provide clerical support to the Dean and Associate Deans as needed.
  • Provide occasional support to the BSS faculty & staff.
  • With the support of student workers, provide general support in daily activities of the office such as: greeting guests, producing routine correspondence, answering phones, organizing incoming documents, ordering office supplies, distributing mail, maintaining files, etc.
  • Assist with coordinating special events including but not limited to back-to-school orientation, BSS events, awards ceremonies, graduation, etc.
  • Perform other duties as assigned.

Qualifications include:

  • High School Diploma with 2 - 6 years of demonstrated administrative support or relevant experience preferred: Experience working in an educational setting preferred.
  • Must have the ability to demonstrate intermediate to advanced level skills in Google Suite, MS Office (Word, Excel, and PowerPoint) and virtual platforms such as Zoom. Willingness to learn university operating systems.
  • Ability to work with a diverse constituency including faculty, staff, and students.
  • Must have excellent verbal and written communication skills; strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; ability to work effectively with communities across the university; highly responsive to the needs of others.
  • Must have high ethical standards and a strong sense of confidentiality; ability to demonstrate attention to detail; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; display solid problem-solving and interpersonal skills; work well independently and as part of a team.
  • Ability to follow workplace and attendance guidelines.
  • Successful completion of an employment and/or criminal history background check is required.
