County of Berks is Hiring an Office Support IV - Part time (Coroner Department) Near Reading, PA

POSITION SUMMARY:

Office support position primarily responsible for completing work for the Assist Coroner, Chief Deputy and Assistant Chief Deputies in the Coroner’s department. Performs paraprofessional work related to the department processes and confidential staff documentation with minimal supervision while ensuring that necessary follow-up actions are completed.

POSITION RESPONSIBILITIES:

Essential Functions

The duties and responsibilities of this position include, but are not necessarily limited to:

  • Assist Coroner, Chief Deputy and Assistant Chief Deputies as needed.
  • Handle all Oracle duties which will include, Prepare office budget in Oracle to use during the following year. Purchase office and coroner supplies through Oracle’s Purchase orders and check requisitions when required, i.e. Training, Pa. State Coroner Association Dues, etc., also complete payment of invoices through Oracle Payables.
  • Assist with Coroner requests for data, records and other requests for information that may be required.
  • Check and update Coroner Website as needed.
  • Assist in answering telephones when needed.
  • Any other duties as assigned by the Coroner.
  • Compilation of complex statistical data from a variety of source materials.
  • Operates standard office machines and appliances incidental to clerical assignments.
  • Records and makes necessary entries on documents.
  • Reviews and proofreads the preparation of documents, checking for spelling and grammatical errors.
  • Maintain supplies (Office and Coroner) in supply areas. Receive deliveries and stock office supplies.

MINIMUM EDUCATIONS AND EXPERIENCE:

  • High school graduation or possession of a G.E.D. Certificate from a recognized issuing agency.
  • A minimum of two (2) years' experience in advanced typing and office practices including working with varied computer applications.
  • Any equivalent combination of experience and training that provides the required knowledge, skills and abilities.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:

  • Basic elements of English language usage, spelling, and arithmetic.
  • Ability to perform routine clerical work.
  • Ability to utilize word processing equipment.
  • Knowledge of office methods, practices and procedures and ability to make arithmetical calculations.
  • Ability to type at a speed of 47 WPM from clear copy with 85% accuracy.
  • Ability to understand and carry out oral and written directions.
  • Ability to maintain cooperative working relationships with those contacted in the performance of duties, to include all other employees.
  • Knowledge of the law as it pertains to County government.
  • Ability to communicate effectively orally and in writing.

PHYSICAL DEMANDS:

Work involves standing, walking, sitting, lifting, carrying, talking, hearing, using hands to handle, feel objects, tools, or controls, and reaching with hands and arms. Vision abilities required by this job include close vision and the ability to adjust focus. The employee must occasionally lift and/or move up to 25 pounds a distance of 15 feet or less.

WORKING ENVIRONMENT:

Normal office environment. While working in the coroner’s office certain conversations can be heard regarding case information which is very sensitive in nature. This information must be kept in the strictest confidence.
