Suburban Associates In Ophthalmology is Hiring a Surgical Coordinator Gap Year Program (20-24 hrs/week) Near Arlington, IL

Suburban Associates in Ophthalmology, a leading Ophthalmology medical practice in the northwest suburbs, is seeking a compassionate and eager recent college grad for their Surgical Coordinator Gap Year Program. This individual to work 2.5- 3 days a week, in office which provides the individual time to prepare for entrance exams, volunteer, shadow other disciplines. This role reports to the Director of Surgical Operations and Outreach.

This is excellent experience for students planning a career as a physician, nurse practitioner or physician assistant who plan a “gap year” as they prepare for professsional school. We are asking for a commitment of 1 year. (NO SUMMER APPLICANTS PLEASE)

Surgical coordinators will gain comprehensive education and experience in all aspects of patient education, counseling, and scheduling of ophthalmic surgeries. You will be hands on facilitating physician's scheduling of cases along with preparing clinical documentation for them. This will provide you with in depth experience of what happens before and after the OR. Opportunities will shadow surgical procedures will be available to this individual after 90 days, and if in good standing.

We are seeking a detail-oriented individual with excellent multitasking skills and a friendly, outgoing demeanor to join our team. The ideal candidate will thrive in a fast-paced environment, able to handle pressure with ease, and willing to travel to multiple locations alongside their assigned provider. Previous experience in scheduling surgeries, along with patient engagement is a plus.

Key Responsibilities:

  • Serve as a liaison between patients, surgeons, primary care physicians, and surgical facilities throughout the pre-operative surgical process.
  • Coordinate with patients to schedule surgeries and arrange any necessary pre-operative evaluations and appropriate counseling on various aspects of surgery, including instructions for pre and post-operative care.
  • Compile essential information for upcoming surgeries; including but not limited to: medical records, diagnostic tests, insurance details, and consent forms to support the surgeon.
  • Handle incoming inquiries regarding surgeries promptly and professionally.
  • Maintain organized patient records by scanning and labeling documents in a timely manner.
  • Develop a comprehensive understanding of surgeries and options to address patient inquiries accurately and with confidence.
  • Coordinate with billing team in securing prior authorizations
  • Monitor and replenish surgery information packets as needed and manage inventory of eye drops.
  • Facilitate communication with primary care physicians, ensuring timely submission of necessary documentation such as clearance requests and patient records.

Qualifications and skills:

  • Bachelors degree from an accredited university
  • Preferred: Healthcare shadowing, volunteer or work experience
  • Ability to handle confidential and sensitive information, as well as relate to persons of all diversities
  • Ability to communicate effectively, listen actively and provide good customer service
  • Ability to multi-task with strong organization and attention to detail
  • Ability to meet deadlines and keep records in a comprehensible way
  • Good attitude, professionalism, leadership and ability to work as a team member
  • Ability to speak English fluently
