Overview

The Grants Administrator is responsible for data capture and analysis, fiscal compliance, expense tracking and budget oversight, and grant close-out in coordination with our Grants Writer.

Responsibilities

The Grants Administrator is responsible for the financial and administrative management of a portfolio of program support grants. They will monitor restricted accounts and analyze revenue and expenditures on federal and non-federal grants. They are also responsible for compliance with funding guidelines to avoid audit findings, fiscal reporting, revenue projections and accurate financial analysis. The Grants Administrator provides guidance to Club staff regarding expenditures and expense tracking as well as availability of support funds, and monitors grants and contracts to ensure expenses are paid according to contract and government regulations within budget limits and timelines. They will prepare financial reports for sponsored awards, and interpret award terms/conditions, as well as Federal and non-federal financial/administrative policies. The Grants Administrator will maintain a calendar of due dates for formal grant report deadlines and will notify the Executive Director and supervisor about funding shortfalls, expenditure overruns, and plans for contingencies.

Basic Qualifications

Required: Associates Degree or higher with at least two years of accounting or budget-tracking experience.

Preferred: Bachelor’s Degree or higher with three to five years of experience in grants or grants accounting or non-profit accounting.

  • One to three years of related experience
  • Must be able to effectively communicate (verbal and written)
  • Computer proficiency with Excel and Word and spreadsheet development
  • Ability to work independently as well as part of a team
  • Strong problem solving skills with attention to detail and accuracy essential
  • Ability to handle confidential information/materials with discretion
  • Ability to manage multiple shifting priorities in fast-paced environment
  • Experience in preparing budgets and financial reports
  • Highly organized, detail-oriented and self-motivated
  • Ability to balance big-picture thinking with attention to detail
  • Solutions-oriented: when confronted by obstacles, can strategize ways to move forward and achieve goals
  • An entrepreneurial outlook: does not wait to be asked to do something; can identify ways to move forward and works independently

Terms of Employment

· This is a part-time (12-15 hours per week) position, likely increasing to 18-20 hours per week by end of first year

· Weekly scheduling of hours is flexible though ideal would be 4 hours per day, Monday – Thursday, 10-2pm or 11-3pm

· Occasional remote work may be permitted

· Compensation: $20-25 per hour depending on experience and qualifications match

Reports To: Chief Development Officer

Pay: $20.00 - $25.00 per hour

Expected hours: 12 per week
