Developmental FX is Hiring a Client Coordinator Near Denver, CO

DFX is a nonprofit organization specializing in pediatric occupational and speech-language therapy and mental health support that works to transform the lives of children who have neurodevelopmental disabilities and mental health challenges so that they and their families can thrive. Our multidisciplinary team works with clients in our state-of-the-art Denver clinic on the campus of Clayton Early Learning.

Job Description: Client Coordinator (part-time)

ESSENTIAL DUTIES AND RESPONSIBILITIES

Intake Coordinator and DFX First Point of Contact:

  • Act as first point of contact for clients and families
  • Manage initial conversations for all program inquiries and respond/direct appropriately
  • Establish connection and convey the DFX Therapy that Fits approach and available programs and services to clients
  • Accommodate clients who require a translator or technical assistance during calls and evaluations with available resources
  • Gather intake information in our EHR (Electronic Health Record) system
  • Email/electronically relay via EHR intake form(s) to clients
  • Receive completed paperwork from clients and upload to EHR
  • Manage email, voicemail, fax, and the info@developmentalfx.org general inbox, responding to all correspondence within 24 hours of receiving
  • Establish and maintain relationships with local referring bodies including nurses, doctors, case managers, agencies, and other client care coordinators

Scheduling:

  • Maintain up-to-date information and communication regarding the clinic program waitlists (Occupational Therapy (OT), Speech-Language Pathology (SLP,) and Psychological therapy and evaluations)
  • Maintain up-to-date information about therapist’s openings
  • Outreach to clients to schedule appointments for all services
  • Outreach to therapists to confirm their availability before scheduling clients
  • Communicate scheduled clients with Healthcare and Systems Manager, Clinical Practice Manager and Billing Office
  • Confirm scheduled services prior to appointments and check info@ for last-minute cancellations
  • Maintain ongoing communication with clients, consistent with the DFX mission, pillars, and values

Records Management:

  • Adhere to records compliance requirements and HIPAA standards
  • Maintain client files within the healthcare management system/EHR
  • Maintain archive of physical client files according to HIPAA regulations
  • Act as resource for Clients for accessing and sharing their information and ensure Release of Information (ROI) forms are signed prepare to release
  • Collaborate with the Healthcare and Systems Manager to insure billing and insurance information and necessary referrals and authorizations are in place for clients prior to scheduling
  • Keep client records in EHR updated, including badges, current status, and updated forms and annual policy agreements

Qualifications:

  • Systematic thinking and organizational skills
  • Genuine care for the well-being of clients and their families
  • Passion for equity in access to healthcare
  • Compassion in supporting clients with disabilities or complex neurodevelopmental needs and their families
  • Patience and personal responsibility to make our services as accessible to families as possible
  • Willingness to work collaboratively as liaison between clinical and administrative organizational needs
  • Preferred: experience with Google suite of applications, online health records management, phone and email etiquette, and administrative assistance
  • Preferred: experience working in social work, child care and social services, nonprofits, and/or healthcare administration
  • Bonus: Fluency in Spanish

Compensation and Benefits:

  • Monday through Friday

COMMITMENT TO PAY EQUITY: Developmental FX is committed to fair and equitable hiring with salaries based on relevant factors, such as work experience, education, and certification/licensure (rather than wage history). Toward the principle of equal pay for equal work, we post and hire within defined hiring salary ranges.
