HOW YOU WILL MAKE AN IMPACT:

The Program Compliance Coordinator will perform technical, complex, and audit activities to support Program compliance and monitoring. Responsibilities include Program eligibility and enrollment, monitoring, maintenance, processing, analysis and auditing of student data, information, records, and reports. This position will serve as a resource to team members and client schools to ensure accuracy and completeness of student records and provide guidance on related issues.


RESPONSIBILITIES/DUTIES:

  • Perform technical and complex service and support functions related to client school compliance with federal or state Program requirements
  • Partner with team members to review, verify, and audit records for accuracy, completeness, and compliance with established federal or state standards, requirements, and procedures
  • Assist team members with review and processing of Program related documents and student records
  • Support client schools with overall Program compliance to federal or state Program requirements
  • Collaborate with team members to coordinate internal auditing, record keeping and reporting functions to ensure reporting of data
  • Ensure processing and auditing of Program information is performed by team members within service standards
  • Work with leadership to ensure operating procedures and methods are in place and updated for information tracking, monitoring, auditing, and retrieval
  • Collect, maintain, and update data and tracking documents in organizational systems and resolve discrepancies
  • Reconcile student data in various organizational systems
  • Update Program compliance manual, FAQs, and related Program materials and documents
  • Coordinate preparation of information, reports, or data needed in response to requests for Authorizer Oversight, School Board updates, or related reporting by the organization
  • Prepare reports and documents including requests from external auditors
  • Research and evaluate current federal or state legislation related to Program compliance and monitoring
  • Identify programming errors and collaborate with system designees to fix errors for accurate reporting
  • Provide technical training and assistance to staff concerning monitoring activities and related functions
  • Serve as a resource to staff and client companies regarding Program compliance and monitoring functions
  • Administrative duties, responsibilities, and activities may be assigned or changed from time to time


SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:

  • Strong understanding of State Department of Education 9-12th Program compliance requirements relating to either Special Education, English Learners, Public Charter School, Virtual/Online Learning
  • Knowledgeable of State Public School K-12th or Public Charter School legislation related to Educator certification
  • Knowledgeable of various educational programs such as Independent Study, Home Study, Online Learning, Special Education, Career Technical Education
  • Knowledge and understanding of State Public School Teacher assignment monitoring and reporting
  • Project management, organizational, and problem-solving skills
  • Ability to work confidentially and with discretion
  • Ability to communicate with technical and non-technical users
  • Ability to work in team environments and with multiple levels of employees
  • Ability to learn new technologies
  • Strong interpersonal skills, ability to prioritize work and take initiative to improve processes
  • Self-sufficient and focused on excellent customer service

MINIMUM QUALIFICATIONS:

  • 4 years of professional experience in Public K-12th educational program monitoring and reporting
  • Experience working with County Office of Education Departments, Local Educational Agencies, and Public School Districts
  • Bachelors degree or 2 years equivalent work experience demonstrating applicable skills in educational program quality assurance or related field (equivalent experience is included in total years of professional experience) required
  • Proficient with student information systems
  • Skilled in MS Office (Word, Excel, PowerPoint, Outlook)

TRAVEL: Ability to travel in performance of job duties is required


PHYSICAL REQUIREMENTS:

  • Mental Demands: high workflow management, high project coordination
  • Finger Dexterity: using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together
  • Talking: especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly
  • Average Hearing: able to hear average or normal conversations and receive ordinary information
  • Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents or operate machinery
  • Physical Strength: sedentary work. Sitting most of the time, and occasionally exerts up to 10 lbs. of force (almost all office jobs)
  • Frequent multi-tasking, changing of task priorities, repetitious exacting work required
  • Working in a noisy, distracting environment with frequent deadline pressures
