Position Overview:
Nevada Fertility Center is looking for a part time Third Party Administrative Assistant. We are looking for someone who would love to be part of an amazing team that helps people achieve their dreams of having a baby!
JOB SUMMARY:
The third-party administrative assistant is an essential member of the third-party team reporting to the third-party manager. The third-party administrative assistant will work closely with the third-party team to provide administrative support.
ESSENTIAL JOB FUNCTION:
Adhere to company Policies and Procedures
Provide excellent customer service
Provide compassion and emotional support to patients throughout their fertility experience
Maintain company customer service image
Assist/support third party IVF coordinators
Assist third party manager
Obtain medical records for all third-party patients, surrogates, and egg donors
Obtain lab results for all third-party patients, surrogates, and egg donors
Obtain genetic and psychological evaluations for all third-party patients, surrogates, and egg donors
Schedule new patient consultations for physicians
Check messages for team and return calls if needed
Ensure that all tasks and responsibilities are carried out effectively and efficiently
Maintain confidentiality in all aspects of the process recognizing that many confidential documents and conversations will need to be relayed
Maintain cleanliness throughout the facility
Maintain third party IVF cycle list/grid for management
Accept responsibility and accountability for actions
Assist and cooperate with administration and supervisors
Be proactive to eliminate crisis management
Attend all meetings as required
Participates/assists in quality improvement projects
Other duties as assigned
KNOWLEDGE SKILLS AND ABILITIES:
Possesses interpersonal and communication skills necessary to interface with patients, physicians, and staff from various departments.
Possesses excellent organizational skills and be able to accurately perform multiple tasks, prioritize, be detail oriented and work with constant interruptions.
Able to perform basic computer functions such as creating word documents, spreadsheets, and email. Has the ability to learn and master an electronic medical software application as it may pertain to job responsibilities.
Able to maintain proficiency regarding job requirements as determined by annual assessment of job competency.
Demonstrate the ability to be a team player and possess a willingness to perform duties that are assigned or delegated to him/her as well as a willingness to perform duties of other employees as needed.

Maintain confidentiality of all work information, clinic information and patient information.
Participates in identifying problems and suggesting solution
Be flexible and open to change.
Champion effective and consistent communication, both verbally and in writing.
Coordinate efforts to work effectively with others in a manner that is productive, recognizing that this creates continued development of the “team” concept.
Ability to work in collaboration with managers, employees of all levels, and the physicians.
MINIMUM QUALIFICATIONS:
High School Diploma
DESIRED QUALIFICATIONS:
2 years previous experience in fertility.
Certified Medical Assistant preferred

PHYSICAL REQUIREMENTS:
Adequate to perform job duties in person and over the telephone. Must be able to communicate clearly to patients in person and over the phone. Requires bending,
reaching, repetitive hand movements, and standing, walking, with some heavy lifting, pushing, and pulling exerted regularly throughout a regular work.
