Job Description

As The Pineapple Agency’s Office Manager, you will be the driving force behind our day-to-day office operations and executive support at our Fabrication Shop in North Las Vegas. This role will be pivotal in creating an organized, efficient, and vibrant workplace that fosters collaboration, creativity, and high performance through onsite process streamlining implementation, administrative support for our Executive team, and promoting employee appreciation initiatives.

The ideal Office Manager candidate does not let any details slip through the cracks, has an expert-level sense of communication and follow-through on projects, and is naturally able to find solutions independently. A driven personality and self-starting approach will be key to success in this role.

In addition to managing the day-to-day aspects of our office onsite, this position will also be instrumental behind the scenes in an executive assistant capacity: using a strong sense of resourcefulness and keen attention to detail to help streamline meeting scheduling, travel booking, fulfilling daily requests, and other data entry for our TPA Executive team.

This position also includes working with our multidisciplinary internal TPA teams to organize events and employee appreciation events and programs at our fabrication shop - to create an onsite culture that is just as creative and vibrant as our team is at The Pineapple Agency.

You’ll do:

Spearheading office management:

  • Work alongside the TPA People & Ops teams to coordinate and lead day-to-day office operations, including managing supplies, inventory, vendors, subscriptions, and facilities.
  • Become the main point of contact for any services, vendors, or office-related operations in Las Vegas alongside the Ops team
  • Work with the TPA Accounting team to manage expenses and budgets in relation to the office operations and duties
  • Take pride in our fabrication shop environment - take initiative in keeping our space well-organized, well-stocked, welcoming, and clean!
  • Maintain and order all office supply inventory, including snacks and supplies
  • Implement environmentally responsible initiatives
  • Create, maintain, and streamline any office-related standard operating procedures and processes
  • Manage all office-related projects and tasks independently day-to-day
  • Other office management duties as assigned

Executive assistant support:

  • Provide comprehensive administrative support to our TPA Executive/Leadership teams, including calendar management, scheduling meetings, fulfilling any daily requests, and coordinating travel arrangements.
  • Assist in preparing reports, presentations, and other documents for executive meetings and presentations.
  • Act as a liaison between executives and internal/external stakeholders, managing communication and ensuring timely responses.
  • Other executive-assistant duties as assigned

Contributing to our TPA onsite culture:

  • Work alongside the People & Ops teams to implement retention-driving strategies to cultivate a positive and inclusive company culture: employee engagement initiatives, social impact programs, and more
  • Organize team-building activities, events, and initiatives to foster camaraderie and collaboration among team members
  • Collaborate with department heads to integrate our TPA cultural values into daily operations and workflows onsite

What you have:

  • At least 3-4 years of related experience in an office management/executive assistant capacity.
  • Excellent communication and interpersonal skills across all mediums - whether virtual, written, or oral
  • Proficiency in the following programs: Google Suite (including Drive, Sheets, Gmail, etc), Slack, and Zoom
  • Strong organizational and multitasking abilities to handle multiple office projects
  • Ability to work independently but collaborate effectively within our TPA team across two operating locations
  • Creative and nimble mindset with a passion for building positive workplace cultures
  • Highly organized, self-motivated, and self-directed with strong time management skills
  • Excellent business communication skills, including email writing and public-facing customer interactions
  • A positive, approachable, upbeat personality
  • A go-getter mentality: naturally motivated to find solutions independently and are not afraid to take initiative
  • Possess TPA’s core values: Bold, Passionate, Gritty, Collaborative, Imaginative, and Resourceful
  • Familiarity with experiential marketing, accounting/payroll processes, and/or the fabrication industry is a plus!

Work Environment

  • This is a full-time, exempt position and employees must be available to work Monday through Friday, during regular business hours. Occasional evening and weekend work may be required as job duties demand.
  • This position must be able to commute to the North Las Vegas fabrication shop reliably Monday through Thursday; on Fridays, this position will work remote.

Compensation

$50-60K annual salary, dependent on experience. Benefits include no preset limits on Paid Time Off, robust medical/dental/vision offerings, 401K plan 1% pre-tax employer match, finder’s fee commission opportunities, and more.
